Job Description

We’re seeking a skilled and compassionate Medical Receptionist to join our client’s expanding team in a remote capacity. In this pivotal role, you’ll be the vital link between patients, clinicians, and referring doctors, ensuring smooth communication and efficient practice operations. As the practice grows from its current size to a bustling clinic with multiple specialists, you’ll have the unique opportunity to contribute to and grow with the organization. Your expertise in medical reception will be instrumental in maintaining high standards of patient care and practice management during this exciting phase of expansion.

Responsibilities
  • Serve as the first point of contact for patients, potential clinicians, and referring doctors, providing exceptional customer service via phone and email
  • Efficiently manage multiple doctors’ calendars, coordinating appointments to optimize clinic schedules
  • Handle patient bookings, cancelations, and rescheduling requests with a focus on patient satisfaction and clinic efficiency
  • Conduct thorough patient registrations, ensuring all necessary information is accurately recorded and maintained
  • Manage incoming and outgoing communications, including emails and phone calls, responding promptly and professionally to inquiries
  • Assist in the implementation and use of new VOIP and PBX systems as the practice upgrades its technology infrastructure
  • Collaborate with the clinical team to ensure smooth day-to-day operations and contribute to the practice’s growth initiatives
  • Maintain strict confidentiality and adhere to all relevant privacy regulations in handling patient information


Requirements
  • Proven experience as a medical receptionist, preferably in a specialist or multi-practitioner setting
  • Strong familiarity with medical terminology and procedures
  • Must have a neutral accent for clear and professional communication.
  • Excellent communication skills, both verbal and written, with a focus on patient-centric service
  • Proficiency in using medical practice management software and general office applications
  • Demonstrated ability to multitask and prioritize in a fast-paced, growing environment
  • High level of attention to detail and commitment to accuracy in all tasks
  • Ability to work independently and remotely while maintaining strong connections with the team
  • Flexibility to adapt to new systems and processes as the practice expands
  • Comfortable with technology and eager to learn new software solutions for improved practice management
  • Strong ethical standards and understanding of patient confidentiality requirements
  • Availability to work full-time hours from 9 AM to 6 PM, East Coast Australia time, five days a week
