Contract: Independent Contractor
Schedule: Hours: 6 days/week (flexible hours)  Full-Time Flexible, with a standard 40-hour work week.
Scope:

  • 6 days/week — hours flexible but consistent
  • Remote — responsive during agreed hours
  • Pay based on experience and whether this is one role or split into two

Overview
We’re looking for an exceptionally organized, assertive, and proactive Virtual Personal Assistant to support the founder of a fast-growing, creative company. This is a high-trust, high-responsibility role that requires strong communication, initiative, and consistency.

You’ll be on most calls, helping prioritize tasks, organize the day, manage the inbox, and make sure nothing slips through the cracks. If you also have light bookkeeping skills, this could become a dual role—or we’ll hire two people if needed.


Your Core Role (Personal Assistant)

Meetings & Execution:

  • Join Zoom/Google Meet calls daily to take detailed, actionable notes

  • Create and update to-do lists and follow-ups based on each call

  • Remind the founder of priorities, meetings, and tasks daily in a constructive way

  • Keep the week and month organized through Monday.com and shared calendars

Email & Time Management:

  • Manage Gmail: unsubscribe from spam, sort into folders, highlight priorities

  • Ensure inbox zero by end of day

  • Help with time-blocking for focus time, meetings, workouts, and family time

  • Monitor Monday.com and send key tasks into Telegram to ensure quick responses

Organization & Systems:

  • Maintain clean, well-organized files in Google Drive

  • Be highly responsive via Slack, Telegram, and email

  • Communicate clearly, efficiently, and respectfully

  • Help streamline systems and reduce mental load for the founder

Optional Add-On: Bookkeeping / Light Accounting

If you’re also skilled with basic accounting:

  • Track money in and out (including cash transactions via notes)

  • Light QuickBooks work

  • Maintain financial sheets in Google Sheets

  • Help reconcile monthly budgets and keep things organized


Requirements
You Are:
  • Extremely organized, focused, and proactive
  • Assertive and clear in communication—without being pushy
  • Flexible and able to adapt quickly to a fast-paced environment
  • Trustworthy, respectful, and committed to confidentiality
  • A fluent English speaker (spoken and written is required)
  • Comfortable working directly with a busy founder and helping them operate at their best
