The company is seeking a highly organized, detail-oriented, and self-motivated Virtual Assistant to join its distributed team. This individual will play a critical role in streamlining workflows, managing communications, and supporting a range of administrative tasks across multiple departments or directly with executive leaders. The ideal candidate is tech-savvy, a strong communicator, and someone who thrives in a fast-paced, asynchronous environment.
As a Virtual Assistant, this person will be entrusted with managing calendars, coordinating meetings, processing emails, preparing documents, handling basic data entry, and occasionally supporting project coordination. While the responsibilities may vary depending on client needs, the role consistently requires strong judgment, time management, and a commitment to professionalism.
Manage calendars, appointments, and scheduling for executives or team leads across time zones
Monitor and respond to emails, flag urgent messages, and draft follow-up communications
Conduct internet research and compile information into reports or spreadsheets
Coordinate virtual meetings, including agenda preparation and note-taking
Prepare documents, presentations, and templates using Google Workspace or Microsoft Office
Support data entry, CRM updates, and light bookkeeping as needed
Assist with travel arrangements and itinerary planning
Handle other ad hoc administrative tasks to support day-to-day business operations
The ideal candidate is a proactive problem solver who anticipates needs before they arise. They are comfortable working independently, prioritizing tasks without constant supervision, and communicating clearly through written and verbal channels. Strong attention to detail, discretion, and a calm, can-do attitude are essential to success in this role.
They have experience supporting executives or teams remotely and are confident using a wide range of digital tools such as project management platforms, CRMs, and cloud-based document systems. A genuine passion for helping others stay organized and productive sets them apart.
2+ years of experience in a virtual assistant, executive assistant, or administrative support role
Fluent in English; excellent written and verbal communication skills
Comfortable with tools like Google Workspace, Microsoft Office, Slack, Notion, Zoom, and task managers like Asana or Trello
Strong time management skills and ability to meet deadlines independently
High level of discretion and professionalism when handling confidential information
Strong internet connection and quiet working environment for calls
Availability to overlap with U.S. or client-specific working hours
