Job Title: Marketing & Reservations Manager
Direct Supervisor: Erica Brown, Director of Communications & IT
Location: Remote, work from home within NC
Hours: Full Time (35+ hrs/week)
Compensation: $40,000.00 - $45,000.00

The Marketing & Reservations Manager drives sales and reservations for all Muddy Sneakers programs and services by identifying and cultivating leads, managing our CRM system, and ensuring the program calendar, operations, and logistics are aligned across departments. The Marketing & Reservations Manager reports to the Director of Communications & IT and works closely with the Director of Programs to ensure program quality.
ESSENTIAL ROLES & RESPONSIBILITIES
- Lead Generation & Outreach
- Conduct targeted outreach to generate leads for Muddy Sneakers’ school-based programs through cold emails and promotional campaigns.
- Develop and send marketing emails to segmented educator lists to increase awareness and drive interest in programs.
- Generate leads for public programs through email campaigns and support list growth through data collection and refinement.
- CRM and Sales Pipeline Management
- Manage marketing and sales records in HubSpot, ensuring record properties and pipeline stages are accurate and up to date.
- Move leads through the sales pipeline and log activities, follow-ups, and outcomes within the system.
- Create and track deals in HubSpot; send invoices to customers when deals are won.
- Maintain segmented email lists and develop email workflows to nurture leads.
- Scheduling & Coordination
- Own and maintain the program calendar (Google Calendar and monday.com), coordinating directly with schools and program managers to secure dates.
- Collaborate with program managers to assign instructors and use monday.com database to assign sites to booked programs.
- Ensure all program bookings and changes are reflected accurately in scheduling and communication systems.
- Serve as the point of contact for all reservations and communicate directly with teachers/group leaders to provide scheduling logistics and ensure a smooth transition to Program Managers for program implementation.
- Analytics & Reporting
- Maintain sales dashboards in HubSpot and monday.com, tracking key performance metrics.
- Prepare regular reports to monitor the effectiveness of campaigns and identify opportunities for improvement.

QUALIFICATIONS
- Education
- Bachelor’s Degree or higher in sales, marketing, communications, business administration, nonprofit management or a related field is required (or an equivalent combination of education and relevant professional experience)
- Candidates with strong demonstrated experience in sales coordination, CRM/database management, or education sector outreach are encouraged to apply, even if their degree is in an unrelated field.
- Experience
- 3+ years in one or more of the following areas: sales coordination, marketing, outreach, CRM administration, etc
- Proven successes in closing sales through exceptional customer service
- General administrative office skills and effective writing skills
- Knowledge of environmental education, informal science programs, or nonprofit management is preferred
- Knowledge, Skills, & Abilities
- Primary: A combination of professional experience as a sales/marketing associate, CRM manager, reservationist, or related fields
- Professional phone and customer service skills
- Knowledge of Customer Relationship Management platforms, preferably HubSpot, including contact management, deal tracking, list segmentation, and email workflows
- Understanding of email campaign best practices, A/B testing, deliverability, segmentation, and performance metrics
- Familiarity with lead generation, sales pipelines, deal management, and customer follow-up strategies
- Understanding of scheduling coordination, field-based program delivery, and basic resource allocation
- Knowledge of marketing and sales data dashboards (HubSpot, monday.com) and how to interpret key performance indicators
- Knowledge of public school systems, especially in North Carolina, and the rhythms of the academic calendar, is a plus
- Demonstrated ability to multitask, manage information, prioritize duties, and follow through with details
- Ability to manage time and competing priorities
- Excellent interpersonal and collaboration skills
- Excellent communication skills - both written and verbal, and ability to communicate effectively
- Attention to detail and exceptional organizational skills
- Experience using the following or comparable software: Google Workspace (Drive, Gmail, Calendar, Forms, Meet), Microsoft Office Suite, survey tools, online learning platforms, project management software (monday.com), customer relationship management software (HubSpot)
- Ability to interpret the results of feedback and evaluation and implement changes
- Strong commitment to the conservation of North Carolina’s natural environment
PHYSICAL DEMANDS & WORKING CONDITIONS
Physical Demands:
- Requires prolonged computer use
- Ability to occasionally accompany guests in the field, including walking across uneven and largely unpaved surfaces.
- Possible moving of boxes that contain programming or other materials (not a requirement).
- Reasonable physical accommodations can be made
Working Conditions:
- Predominantly indoor and some outdoor conditions, including exposure to inclement weather, cold, and heat
Other Requirements:
- This is a work-from-home, remote/hybrid role, with some travel to our regional offices and program sites throughout NC
- Some evening and weekend work is required
- A valid driver's license for some statewide travel is required
