The Role

 

We are looking for a responsible Administrative Assistant to join our Information Technology Division team. As an Administrative Assistant you will perform a variety of administrative and clerical task including reporting, scheduling appointments, and providing general administrative support to our Information Technology Division managers and employees.

For this position, you should be able to use your organizational skills to manage your office space and your time, as you will collaborate with clients and colleagues in a fast-paced environment. The goal is to ensure that office operations are efficient and add maximum value to the organization.

 

Responsibilities

 

· Support the Information Technology Division team with various administrative tasks (scheduling meetings, office supplies management, travel arrangements etc.)

· Prepare reports, presentations and Excel spreadsheets for internal and external meetings

· Handle expenses, invoices, purchase orders, payments to vendors and travel expenses

· Establish and maintain effective and accurate filing systems

· Act as the point of contact for internal and external clients

·  Reporting on remote work, leaves, and IT shifts.

· Work hours tracking and Jira analysis.

· Preparation and submission of full IT Department timesheet.

Requirements

· Associate's/College degree BSc/Ba in business administration or relevant field is a plus

· Professional Experience in similar position at least 2 years

· Full comprehension of office management systems and procedures

· Outstanding knowledge of MS Office, “back-office” and accounting software

· Proficiency in English

· Organized with the ability to prioritize and multi-task

· Reliable with patience and professionalism

· High level verbal and written communications skills
