Job description

Business Office Specialist 
American Public Education, Inc. 

The Business Office Specialist is responsible for cash processing and application, refund processing, account maintenance and reporting, accounts receivable reconciliation, research inquiries, and customer service for various types of funding. This position requires excellent customer service and problem solving skills.

Responsibilities:

  • Prepares, processes, and applies payment information for various pay types including financial aid, credit card, automated clearing house (ACH), check, scholarships, and electronic funds transfer (EFT) paid by third parties and students.
  • Prepares and processes daily refunds to third party vendors, students, and the Department of Education via check, credit card, and ACH.
  • Completes daily reconciliation of cash and accounts receivable transactions.
  • Performs student account maintenance to include application of funds and miscellaneous transactions.
  • Performs tuition assistance reconciliations for payments and refunds, including electronic processing with different agencies.
  • Assists with research and clean up to include past due invoices, payment issues, credit balances, and refunds.
  • Within established service level agreements, assists third party vendors and other departments on the telephone and via e-mail regarding student account questions.
  • Interacts with other departments and third parties to achieve daily goals.
  • Ensures compliance with the Sarbanes Oxley Act (SOX) and Department of Education guidelines in daily processing.
  • Participate in user acceptance testing of system enhancements and projects.
  • Assist with process documentation as needed.
  • Performs other duties as assigned.

Required Experience:

  • Bachelor’s degree preferred.
  • Minimum two (2) years finance/accounting experience is preferred.
  • Experience with Windows-based applications (specifically Excel).
