This is a remote position.

Job Highlights:
  • Mon-Fri, 6:00 PM – 3:00 AM EST with 1 hr unpaid break
  • 40 hours / week
About the Role:
We’re hiring a highly accountable, self-motivated virtual assistant to manage key accounting and billing functions for our U.S.-based property management company. You’ll be working independently during U.S. night hours when the rest of the team is offline, so strong written communication, excellent organization, and resourcefulness are critical. This role involves bookkeeping, vendor billing, rent collection, reconciliation, and emergency office coverage.

Key Responsibilities:
Bookkeeping & Reconciliation
  • Enter and categorize financial transactions in QuickBooks
  • Perform weekly bank and credit card reconciliations across multiple entities
  • Maintain and organize clean general ledger records
Billing & Rent Collection
  • Post rent and utility charges and vendor invoices into the system
  • Send accurate invoices and billing reminders to tenants
  • Monitor tenant ledgers and follow up on unpaid balances
  • Escalate late rent according to internal procedures
Vendor Coordination
  • Communicate with vendors to gather missing invoices, job details, and billing info
  • Ensure accurate and timely entry of vendor charges
  • Follow up regularly with vendors who delay paperwork or information
Office Coverage & Communication
  • Monitor email and voicemail during U.S. night hours
  • Respond to any urgent inquiries, including answering infrequent emergency calls (script provided; average 5 calls/week)
  • Document all updates clearly in writing using internal systems
  • Leave detailed written hand offs for the day team
Other Duties
  • Use tools like Grammarly, Google Sheets, ChatGPT, and snippets to streamline communication and documentation
  • Stay organized while managing multiple deadlines independently
  • Track tasks and productivity via KPI tools or dashboards
  • Attend training sessions during U.S. business hours (9 AM – 5 PM EST) until fully onboarded (hours are flexible within that timeframe)

Required Skills & Experience
  • QuickBooks proficiency and strong reconciliation experience (required)
  • Proven billing and accounts payable experience, especially with vendors
  • Strong written English communication skills (use of AI, such as Grammarly and ChatGPT is completely acceptable, encouraged and provided; must have awareness of what strong written English communication sounds like)
  • Excellent attention to detail (no one is checking this work role unless we notice a pattern of errors; must be confident in accounting skills, yet comfortable enough to ask for help and training as-needed)
  • Comfortable working independently and efficiently during U.S. off-hours (no one is online to ensure you are being productive; you must be a self-starter who can stay focused.)
  • Able to manage infrequent emergency calls professionally
  • Proficient in Google Workspace (Gmail, Docs, Sheets, Drive)
  • Resourceful with AI and productivity tools (e.g., Grammarly, ChatGPT, templates)

Preferred (But Not Required)
  • Experience working in property management or real estate
  • Familiarity with U.S. rent cycles and terminology
