Work Schedule: 10 hour per week, flexible
3 days Monday (3 hours) , Tuesday (3 hours) & Wednesday (4 hours)

Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant with strong data entry skills and a basic understanding of bookkeeping. This role is crucial in supporting our mortgage processing operations, maintaining rental property records, and ensuring timely and accurate data management across various administrative and financial tasks.

Key Responsibilities:

Mortgage Processing Support:

  • Enter mortgage applications into the Filogix system

  • Send necessary attachments to lenders

  • Order property appraisals online

  • Upload supporting documents to lender portals and follow up on deals

  • Perform file audits to ensure RMAI compliance

  • Send client communications, including thank-you emails

  • Track RMAI submissions and follow up on commissions

Bookkeeping Support:

  • Record income, deposits, and payouts

  • Track commission payments and receipts

  • Maintain a record of closed deals per month

  • Organize receipts and prepare simple reports related to commissions

Rental Property Management:

  • Input and track monthly rent payments

  • Manage property vacancies

  • Pay and record rent payments, property taxes, mortgage interest, and utilities

  • Track repairs, renovations, and other expenses

  • Maintain and update spreadsheets related to rental income and expenses

  • Prepare financial files for year-end tax submission

  • Coordinate with the accountant and track accounting-related fees

Qualifications:

  • Proven experience in administrative work and data entry

  • Basic understanding of bookkeeping principles

  • Familiarity with mortgage or real estate systems is a plus (e.g., Filogix)

  • Proficient in using spreadsheets (Excel or Google Sheets)

  • Excellent organizational and communication skills

  • Strong attention to detail and ability to handle confidential information
