General Admin

Join a fast-scaling environmental services company that’s transforming how lead inspections are handled across New York's multifamily housing. In this key scheduling role, you’ll be the frontline communicator coordinating tenant appointments, keeping our inspection operations efficient and timely. What You'll Do:
  • Call tenants to schedule lead inspections, using a provided script and structured process.
  • Enter scheduled appointments into the Pipeliner CRM, including inspector assignments and timing windows.
  • Add detailed comments in CRM after each call for accurate follow-up, tracking, and updating the scheduling status.
  • Escalate non-responsive tenants to internal staff for in-person follow-up.
  • Sort and review appointments based on priority, borough, and zip code using CRM filters.
  • Collaborate with the in-house scheduler to prevent overlaps and balance workloads.
  • Take on new operational tasks over time, with growth opportunities in logistics or bookkeeping.
Who You'll Work With:

You'll be working closely with a small but fast-paced team led directly by the business owner. You'll coordinate daily with the in-house scheduler and other team members to ensure smooth inspection processes and high-quality tenant communication. As part of a nimble, systems-driven company, your feedback and ideas will help shape how we grow.

Who We're Looking For:
  • Articulate Communicator: Comfortable and confident on the phone, capable of calmly explaining processes to tenants.
  • Process-Oriented: Follows set procedures carefully in CRM tools; consistent in call tracking and escalation.
  • Organized: Manages a high volume of tasks efficiently; doesn’t lose track and updates CRM comments regularly.
  • Detail-Focused: Strong attention to detail; avoids repeated mistakes and catches errors before they escalate.
  • Tech-Savvy: Quick to learn tools like Pipeliner; experience with any CRM is helpful.
  • Experience: Experience in dispatching, scheduling, or logistics is a plus, but not necessary.
