Position Overview
The RFE Production Supervisor is responsible for overseeing and managing the production workflow of Request for Evidence (RFE) documentation to ensure timely and accurate submission requirements are met. This role ensures that the team meets quality standards, adheres to USCIS requirements, and operates efficiently within established timelines. The Production Supervisor plays a pivotal role in streamlining processes, developing team capabilities, and maintaining compliance while fostering a collaborative and high-performing work environment.
Essential Job Functions & Responsibilities
Team Leadership and Management:
• Supervise and provide guidance to the RFE production team, ensuring tasks are assigned appropriately and deadlines are met.
• Foster a collaborative and supportive team environment to maximize productivity and morale.
• Conduct regular performance evaluations and provide actionable feedback for professional growth.
Workflow Coordination:
• Oversee the end-to-end RFE production process, from task assignment through to final packet submission
• Ensure smooth coordination between attorneys, paralegals, and team members for timely and accurate completion of RFEs.
• Identify and address bottlenecks or inefficiencies in the production process.
Quality Assurance:
• Implement and enforce quality control measures to ensure accuracy and compliance with USCIS requirements and company standards.
• Review completed RFE packets for accuracy, completeness, and proper formatting.
• Monitor and address recurring issues to improve overall quality and consistency.
Process Improvement:
• Analyze current RFE production workflows and identify opportunities for optimization
• Collaborate with team members and leadership to refine Standard Operating Procedures (SOPs) and adopt best practices.
• Introduce tools and strategies to automate and streamline manual tasks.
Training and Development:
• Develop and deliver comprehensive training programs for new hires and ongoing team member’s development
• Keep the team informed of changes in USCIS guidelines, legal documentation requirements, and internal processes.
• Promote a culture of continuous learning and improvement within the department
Compliance and Documentation:
• Ensure all RFE-related activities comply with legal standards, confidentiality requirements, and company policies.
• Maintain accurate and up-to-date documentation of production workflows, and issue resolutions.
• Generate regular reports to track team performance and production efficiency. Ensure direct reports are sharing metrics and areas of opportunity with their team members
Collaboration and Communication:
• Act as a liaison between the RFE production team, legal staff, and other departments to ensure alignment and clarity.
• Facilitate regular meetings to discuss progress, address concerns, and share updates.
• Communicate production goals, expectations, and feedback effectively to all stakeholders.
Performance Metrics and Reporting:
• Prepare detailed reports for leadership, highlighting achievements, challenges, and areas for improvement.
• Use data insights to drive strategic decisions and improve operational outcomes.
Essential Skills, Knowledge & Abilities
• Possesses excellent English interpersonal and communication skills, both written and verbal; bilingual in Spanish preferred
• Strong leadership and team management skills with the ability to motivate and guide staff in a fast-paced, ever-evolving environment
• Excellent analytical and problem-solving skills, with the ability to make decisions quickly and effectively
• Demonstrated proficiency in data analysis, reporting, process automation, and operational software tools
• Strong prioritization skills and the ability to manage or delegate multiple initiative simultaneously
• Strong verbal and written communication skills to interact with staff and senior management
Minimum Qualifications
• Highschool diploma or equivalent experience
• Bachelor’s degree in business management or related degree preferred
• 3-5 years experience in an operations or supervisory role, preferably in a similar industry
• Previous leadership experience required
• LEAN manufacturing experience or methodologies preferred
• Previous experience with operations management software tools (CRM, case management system, etc.)
Schedule: Monday to Friday, 8 AM - 5 PM EST
