Mission of Role/Position Summary:

The Business Administration and Operations Intern will support the internal functions of ACDC through hands-on experience in HR systems, compliance tracking, employee engagement, and administrative operations. The intern will assist with special projects, contribute to internal process improvements, and participate in professional development opportunities such as training, leadership meetings, and shadowing experiences.

Tasks, Duties, and Responsibilities:

  • This internship will provide a mix of exposure to emergency management recovery operations and strategy, including project management processes, planning, public assistance, and grant management as available/needed.
  • Assist in HR and Payroll System Implementation:
    • Support the HR team in testing and configuring the new HR and payroll software.
    • Help with data entry and migration of employee information into the new system.
    • Participate in training sessions for staff on how to use the new system.
  • State Business Compliance:
    • Assist in researching and documenting state business regulations and compliance requirements.
    • Help maintain records to ensure the organization meets all necessary compliance standards.
    • Monitor and track state compliance renewal dates, ensuring timely submissions and updates.
  • Business Certifications:
    • Aid in the collection and organization of materials needed for business certification applications.
    • Track renewal dates and assist in the preparation of necessary documentation for certification renewals.
  • Employee Programs and Engagement Activities:
    • Assist in organizing and promoting employee engagement initiatives, such as the Employee of the Month program.
    • Help coordinate team-building activities and other events that enhance workplace culture.
    • Collect feedback from employees on engagement programs and suggest improvements.
  • Assist Chief of Staff:
    • Provide administrative support to the Chief of Staff, including scheduling meetings, organizing documents, and preparing materials for presentations.
    • Assist in coordinating special projects and initiatives as directed by the Chief of Staff.
  • Company Policies:
    • Learn about company policy development and compliance standards through hands-on experience.
    • Assist with reviewing and organizing company policies under the guidance of senior staff.
    • Support the drafting and communication of new policies to employees in a clear and accessible manner.
  • Interns will be given the opportunity for shadowing experiences and exposure to various divisions and projects as available.
  • In limited circumstances, Interns may be asked to assist in matters related to research and development, project management/administration, or other corporate operations.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:

  • Strong attention to detail and ability to organize information accurately.
  • Basic understanding of HR functions, payroll systems, and/or a willingness to learn. Ability to conduct research and summarize findings.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and willingness to learn new software. Strong written and verbal communication skills.
  • Ability to manage multiple tasks, track deadlines, and maintain organized records. Interest in business administration, human resources, and/or compliance-related work.
  • Team-oriented mindset with the ability to collaborate effectively with different departments.
  • Problem-solving skills and a proactive attitude in identifying areas for improvement.
  • Willingness to learn about company policies, business certifications, and compliance requirements.

Expected Hours of Work:

Schedule may vary. Work on evenings and weekends may be required. Dependability and punctuality are paramount.

Physical Demands:

  • Sitting or standing for hours at a time.
  • Ability to work at a computer for extended periods of time if needed.

Working Environment:

  • All AC Disaster Consulting (ACDC) positions are remote work site positions with the home location agreed upon at time of hire.
  • If the remote work site locations change, ACDC Human Resources must be made aware, and leadership needs to approve any site changes for business registration and payroll tax purposes.

Requirements

Experience/Education Required:

  • Currently pursuing a degree in Business Administration, Public Administration, Human Resources, Emergency Management or related field.
  • 0-2+ years’ beginner-level knowledge/experience in emergency management principles.
  • Beginner-level customer service experience.
  • Proficient in Microsoft Office 365, particularly Excel.

Experience/Education Preferred:

  • 1 year of previous internship, volunteering, or work experience.
  • Current GPA of 3.0 or higher

Additional Qualifications:

  • Must be 18 years of age or older.
  • Eligibility to work in the United States without employer sponsored visa is required. We are not able to employ those located outside of the US.
  • Must pass company and any applicable client background check and reference check upon offer of employment.
