As an Executive Assistant, you will play a vital role in supporting the executive team, managing tasks, and ensuring the smooth daily operations of the practice.
Responsibilities:
Google Review Responses: Responding to online reviews to maintain positive relationships with clients.
Assembling Order Guide: Using Order.co to assist in organizing and placing product/service orders.
Email Signatures: Designing and maintaining consistent email signatures for the team.
Data Entry/Scrubbing/Reporting Analytics: Collecting and analyzing data as needed for reports and decision-making.
Travel Management: Arranging flights, hotels, and other travel logistics.
Calendar Management: Supporting Bryan with calendar scheduling and prioritizing emails.
Research and Information Gathering: Conducting research and gathering necessary data for various projects.
SOP Creation and Maintenance: Assisting in creating, organizing, and updating Standard Operating Procedures (SOPs).
Product/Service Orders: Handling product and service orders for clients and internal needs.
Reformatting PDFs and Handouts: Converting materials into branded Wright PT templates.
Landing Page Creation: Building landing pages for promotions and initiatives.
Music Management: Organizing and managing Apple/Spotify playlists.
Streamlining Communication: Helping optimize communication flow within the admin team.
Monitor Online Reviews: Regularly tracking and responding to client feedback across platforms.
Organizing Events and Workshops: Planning, coordinating, and executing virtual and in-person events/workshops.
Support App and Web Development: Assisting with app/web development projects and keeping track of progress.
Create Content and Visuals: Contributing to content creation, including written content and visual assets.
Analyze Data for Decision Making: Reviewing key metrics and providing insights to support the business.
Technical Support: Providing basic tech support for staff, clients, and administrative needs.
Support Time Management and Document Handling: Helping with managing time-sensitive tasks and handling important documentation.
Strong organizational skills with the ability to handle multiple tasks simultaneously.
Excellent communication skills (written and verbal).
Self-motivated, proactive, and able to work independently.
Attention to detail and a commitment to quality.
Experience with platforms such as Dropbox, MaintainX, Zoom, Trainual, HubSpot, JotForm, and Mac (Pages, Keynote, Numbers) is a plus, but not required.
Tech-savvy with the ability to learn new software quickly.
Previous experience as an Executive Assistant or in a similar support role is preferred.
