Virtual Rockstar is seeking a Medical Virtual Assistant to join our client’s team. This full-time remote position will serve as a client liaison and be the "face" of the clinic. You will play a key role in managing client interactions, scheduling appointments, assisting with insurance-related tasks, and ensuring smooth communication between patients, therapists, and the clinic’s operations team.

Responsibilities:
Client Support: Answer patient calls, emails, and inquiries; provide excellent customer service and assistance with scheduling, rescheduling, and appointment confirmations.
Scheduling & Calendar Management: Coordinate and maintain the daily schedules of speech therapists, ensuring that their caseloads are efficiently filled.
Appointment Management: Confirm patient appointments, reschedule when necessary, and manage the clinic’s appointment calendar.
Insurance & Billing Support: Work alongside the internal operations assistant to assist with insurance-related tasks, such as eligibility and benefit verification, following up on copayments, and explaining insurance benefits to patients.
Patient Records: Maintain accurate and up-to-date patient records within the clinic’s electronic medical records (EMR) system.
Communication: Send personalized communication to patients regarding appointments, rescheduling, and insurance queries. Follow up with patients for feedback and inquiries.
Administrative Support: Prepare documents, handle email correspondence, post payments to patient accounts, and assist with the generation and sending of invoices.
Confidentiality & Privacy: Ensure all patient information is handled confidentially and in accordance with HIPAA regulations.
Strong communication skills and a friendly, patient-centered demeanor.
Previous experience in a medical office or healthcare-related setting (preferred, but not required).
Knowledge of insurance billing and benefits.
Experience with or willingness to learn software such as Fusion Web Clinic, Google Workspace, and Ring Central.
Ability to multitask and manage time effectively in a fast-paced environment.
Strong organizational skills, attention to detail, and proactive problem-solving abilities.
Ability to work independently and remotely, while maintaining strong team collaboration.
Knowledge of HIPAA regulations and maintaining patient confidentiality.
