Job Requirements:

  • Min 2.5 years proven experience in office administration, team scheduling, or similar roles.
  • Strong understanding of HR processes, policies, and compliance requirements. 
  • Excellent organizational and time management skills, with a keen eye for detail. 
  • Proficiency in administrative and scheduling software/tools (e.g., Microsoft Office Suite, Google Workspace, scheduling apps).

Core responsibilities:

  • Office Administration: Perform standard office administrative tasks, including document management, correspondence, data entry, and report preparation. 
  • Manage office systems and ensure accurate record-keeping and documentation. 
  • Provide administrative support to leadership and staff as needed. 
  • Team Scheduling and Rostering: Develop and maintain team schedules, ensuring adequate coverage for operations. 
  • Manage staff rosters, accommodating time-off requests and availability. 
  • Monitor schedules to avoid conflicts and ensure smooth day-to-day operations. 
  • Work Assignment and Optimization: Oversee the allocation of tasks and projects to team members based on skill sets and availability. 
  • Monitor workloads and adjust assignments to maximize staff efficiency and productivity. 
  • Collaborate with department managers to address resource gaps or bottlenecks. 
  • HR Process Compliance: Ensure adherence to established HR policies and procedures across the team. 
  • Assist in implementing and monitoring compliance measures, including training and policy updates. 
  • Address and escalate HR-related issues in line with company guidelines.
