Role Overview

We are looking for an Operations Executive Assistant to oversee daily operations while providing high-level administrative support. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities efficiently.

Tasks and Responsibilities

Operations Management:

  • Oversee daily operations, ensuring efficiency and continuous process improvement
  • Manage inventory tracking, vendor coordination, and procurement processes

Executive, File & Legal Processing:

  • Maintain and organize company files, ensuring accessibility and version control
  • Manage executive scheduling, travel arrangements, and meeting coordination
  • Assist in processing legal documents and contracts as a paralegal

Financial & Administrative Support:

  • Process invoices, accounts payable/receivable, and track expenses
  • Support budget tracking, financial reporting, and farm operations documentation

Team & Communication Support:

  • Act as a liaison between departments to streamline internal communication and workflows
  • Assist in onboarding new hires and organizing company-wide events and meetings

Requirements

Must-Have Requirements

  • Minimum of 3-5 years of experience in operations management, project management, or an executive assistant role.
  • Proven experience in operations management and executive assistance
  • Highly organized, detail-oriented, and proficient in multitasking
  • Strong project management mindset
  • Fluent in English with excellent verbal and written communication skills
  • Advanced file management skills

Nice-to-Have Requirements

  • CPA or strong accounting background
  • Prior experience in agriculture, manufacturing, or construction industries
  • Experience with inventory management and farm operations software
  • Background in legal document processing or paralegal work
  • Strong problem-solving skills and a proactive approach to process improvements
