JOB DETAILS

Job Title: Administrative Assistant/Accounts Payable Specialist

Location: Remote

Reports To: Finance Manager

Work Shift: U.S. Day Shift EST

Working Hours: 40 hours (Full-time)

This full-time position is integral to our financial operations, involving the management of accounts payable processes, vendor relationships, and the use of various accounting software. The ideal candidate will be responsible for ensuring accurate and timely processing of financial transactions and will play a key role in maintaining the financial health of our organization.

Responsibilities:

  • Manage day-to-day accounts payable operations, including processing invoices, verifying transaction details, and maintaining accurate records.
  • Utilize accounting software such as QuickBooks and Bill.com for financial management and reporting.
  • Handle vendor relationships, ensuring timely and accurate payments and resolving any discrepancies.
  • Ensure that all billing is directed to the appropriate entities within our management structure.
  • Support the manager and the president of the company with administrative paperwork, forms, and scheduling. 
  • Maintain organized payables records and ensure compliance with relevant regulations and standards.
  • Schedule interview candidates for open positions posted by the company. 
  • Utilize Rent Manager to assure accuracy of tenant accounts and transactions. 
  • Compare bank deposits with payments processed for accuracy. 

Requirements

  • Proven experience as a Bookkeeper or Accounts Payable Specialist.
  • Proficiency in accounting software, particularly QuickBooks and Bill.com.
  • Strong understanding of accounts payable processes and vendor management.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Strong communication skills and ability to work collaboratively with team members.
  • Experience in property management utilizing Rent Manager. 
  • Previous experience working U.S. based hours.
