Work Schedule:
Monday - Friday, 8:00 AM to 5:00 PM (EST)

Position Overview:

The Real Estate Admin Coordinator supports both property owners and residents throughout the leasing and listing lifecycle. From summarizing applications to sending leases and coordinating move-ins, you'll ensure nothing falls through the cracks. This role also includes maintaining listing accuracy, responding to tenant questions, and supporting backend administrative processes. If you're highly organized, tech-savvy, and thrive in a detail-oriented, fast-paced setting, this could be a great fit.

Key Responsibilities:

  • Review rental applications and provide clear summaries for owner review.
  • Draft leases using Buildium and PandaDoc; manage e-signature collection and tracking.
  • Coordinate logistics for move-ins and move-outs, including key handoffs and inspections.
  • Monitor lease expirations and handle proactive outreach for renewals or re-listings.
  • Act as a primary point of contact for tenants throughout the leasing lifecycle.
  • Prepare listing content and publish properties on platforms like MLS, Buildium, and Zillow.
  • Track listing performance and recommend updates to stale listings.
  • Draft and send Property Management Agreements using PandaDoc.
  • Maintain meeting notes and follow through on internal task tracking.
  • Provide phone coverage and direct inquiries to the appropriate team members.


Qualifications:

  • 2+ years in administrative or coordination roles, ideally within real estate or leasing.
  • Strong written and verbal English communication skills.
  • Highly organized with strong attention to detail and follow-through.
  • Ability to prioritize, multitask, and meet deadlines in a fast-paced environment.
  • Tech-comfortable and eager to learn new tools and systems.


Nice-to-Haves:

  • Experience using Buildium, PandaDoc, or similar real estate platforms.
  • Prior background in leasing, tenant relations, or property listing coordination.
  • Familiarity with LeadSimple, Property Meld, or other property management tools.
  • Experience working with remote teams or in a startup/small business environment.
