Gary and Mary West Pace is a thriving all inclusive day center for the fragile elderly.

We are seeking a rock star Medical Records Coordinator to join our team.

We offer several benefit plans and and a great 403B program. 13 days of pto and 5 days of sick time offered.

This a a full time position, Monday through Friday from 8:00AM-4:30PM.

Position Summary

The Medical Records Coordinator is responsible for ensuring that Gary and Mary West PACE (GMWP) maintains a single, complete, accurate and comprehensive medical record for each participant in accordance with accepted professional standards and regulatory requirements. The Medical Records Coordinator will also be the subject matter expert (SME) on the PACE Electronic Medical Record (EMR) system supporting effective and compliant use of the EMR by staff. The Medical Records Coordinator will also be the primary point of contact and subject matter expert for the Health Information Exchange (HIE), San Diego Health Connect. This role collaborates with colleagues and stakeholders to promote the GMWP values, team culture and mission.

Essential Functions

  • Oversee the process of obtaining, receiving, and transferring participants' medical records to and from providers outside of PACE, assuring that proper medical release forms are complete and scanning any paper documents into the electronic medical records.
  • Ensure that Gary and Mary West PACE (GMWP) maintains a single, complete, accurate and comprehensive medical record for each participant in accordance with accepted professional standards and regulatory requirements.
  • Monitor participant medical records for complete and timely documentation and promptly report to the Clinical Services Director when GMWP medical records policies and procedures are not being followed.
  • Ensure that participant medical record is retained for a minimum required period of time as outlined in GMWP policies and procedures.
  • Assist with PACE CMS and other regulatory audits by preparing documents for desk review submission and, while auditors are on-site, assist the regulators in navigating the EMR to access required information.
  • Complete all required documentation in a timely and accurate manner.
  • Follow and enforce all GMWP HIPAA policies and procedures to ensure the privacy and confidentiality of all participant information is maintained.
  • Follow GMWP policies and procedures and participate in any required Quality Improvement activities, staff training and meetings.
  • Other duties as assigned.

Education And Certification

  • High school diploma or equivalent, required.
  • Graduation from a 2-year associate degree program in medical assistance accredited by the Commission on Accreditation of Allied Health Education Programs (CAAHEP) or the Accrediting Bureau of Health Education Schools (ABHES), preferred.
  • 2 years' experience as a Medical Records Coordinator in a skilled nursing facility, physician office or medical clinic, preferred.
  • 2 years' experience working with Electronic Medical Records, preferred.
  • Proof of auto Insurance.
  • Valid driver license required.

Experience & Qualifications

  • Must be at least 18 years of age.
  • Extensive knowledge of electronic medical record systems
  • Ability to process accurate information in a timely manner.
  • Excellent organizational and communication skills.
  • Ability to follow directions from supervisor and communicate needs effectively.
  • Experience and competency working with people from diverse backgrounds.

Medical Clearance

Employees must have medical clearance for communicable diseases and up-to-date immunizations before having direct participant contact.
