The Enrolment Assistant is responsible for providing administrative and clerical support to the Enrolment Management and Enrolment Operations teams in the Office of the Registrar. This includes supporting the Admissions and Records units with a variety of administrative tasks throughout the academic cycle. The Enrolment Assistant is accountable for the completion of forms and maintenance of the student record. Other duties and responsibilities consistent with the job description may also be required as the needs of the department evolve. The incumbent is required to have a high degree of attention to detail, ability to prioritize tasks and the ability to work both independently and as part of a team. A continuous improvement mindset is essential to the success of the role and the incumbent will be included in the requirements identification, process mapping, and user acceptance testing phases of this work. The successful candidate will be comfortable adapting to a constantly evolving technology landscape in higher education.
Key Responsibilities
- Maintain student records accuracy on the Student Information System
- Prepare and distribute student records materials (i.e. transcripts, parchments)
- Fulfill official document requests through external platforms such as APAS and MyCreds
- Manage Advanced Credit and Advanced Standing requests
- Support confirmation of enrollment activities, including the completion of relevant government forms
- Timely and accurate record keeping and data entry
- Triaging emails and complex work requests for the appropriate Office of the Registrar team member
- Provide administrative support to Office of the Registrar coordinators
- Other duties as assigned
Skills & Abilities
- Prior experience working with student information systems (preferably Campus Solutions)
- Computer and office skills, including advanced proficiency with Microsoft Office Outlook, Word, Excel, Access and PowerPoint programs
- Web-based meeting platforms
- Capacity to organize and prioritize projects and activities, and adapt to ongoing changes, including shifting between teams, and deadlines
- Excellent oral and written communication skills to communicate effectively with contacts internal and external to NAIT
- Ability to work co-operatively in a fast-paced team setting
- Ability to lift 25 lbs and work flexible hours, including weekends and evenings
Knowledge Of
- NAIT's student related policies and guidelines, academic guidelines and procedures, regulations and guidelines related to student life
- Alberta Freedom and Information and Protection of Privacy Act (FOIP)
Qualifications
- High School Diploma
- Related post-secondary certificate or diploma
- Previous experience working in post-secondary or with policy & procedure would be an asset
- Equivalencies may be considered
Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).
Remuneration: $44,256.94 - $57,140.72 annually, plus a comprehensive benefits package. (Classification – Administrative Support IV).
This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
