Job description

Job Summary:

The Manager – Clinical Systems Education is a key leader responsible for developing and delivering scalable, role-specific training across a range of veterinary clinical systems, including PIMS (e.g., Provet), Quinyx, veterinary AI dictation tools, and other veterinary system platforms. This role ensures seamless onboarding, workflow optimization, and continued adoption of these systems across our clinics, empowering teams to deliver efficient, high-quality care. Acting as a systems education strategist and trusted partner to clinic and field leadership, this individual blends learning design expertise, veterinary operations insight, and deep systems knowledge to elevate performance, engagement, and client experience.

Success in this role requires strong virtual and in-person training delivery, a personable and adaptive communication style, and the ability to identify and proactively address user needs across the organization.

Key Responsibilities:

Lead PIMS Training Strategy & Delivery

  • Oversee new clinic onboarding for PIMS platforms (e.g., Provet) and ensure role-based training across DVMs, techs, CSRs, and PMs.
  • Develop SOPs, quick guides, and job aids tailored to workflows and user proficiency levels.

Support Broader Clinical Systems Education

  • Design and deliver training for Quinyx workforce management tools and AI dictation systems used by providers.
  • Partner with IT, Ops, and vendor teams to implement training aligned with system rollouts or updates.

Promote Scalable Learning & Self-Service

  • Maintain e-learning modules and knowledge base content in the LMS (e.g., Workday).
  • Host open “office hours” and Q&A sessions for ongoing support and learning reinforcement.

Drive Engagement & Adoption

  • Train field leaders and practice managers to reinforce system usage.
  • Identify barriers to adoption and implement proactive solutions based on user feedback and system performance data.

Measure & Report Outcomes

  • Track time-to-proficiency, user engagement, and training effectiveness across platforms.
  • Monitor reduction in support tickets and training-related escalations.

Qualifications:

  • 3–5+ years of experience in veterinary practice management, clinical systems support or learning & development.
  • Expertise in Provet and/or PIMS systems, Quinyx, AI dictations systems, and veterinary practice workflows.
  • Proven experience designing and delivering virtual and live system training.
  • Strong instructional design skills; proficiency in LMS tools (e.g., Workday Learning), authoring tools, and content development platforms.
  • High adaptability, clear communication, and a learner-first mindset.

Success Metrics:

  • 100% of clinics trained pre-go-live for each system.
  • Time-to-proficiency by role and platform.
  • Reduction in clinical system support tickets.
  • Satisfaction and follow-up session engagement.

Location: Open to Remote / San Antonio, Texas (hybrid)
