Job description

The Executive Assistant will support the Chief Executive Officer (CEO) and Vice President of Client Success at our office(s) in Scottsdale, Arizona. This role is crucial to ensuring the efficiency of our executive operations and to the successful performance of our agency.

  • Oversee the CEO's schedule, ensuring that meetings, calls, and other responsibilities are planned and organized, primarily using Google Calendar and ClickUp.
  • Prepare agendas, materials, and action items for meetings and distribute them to participants as necessary.
  • Attend all necessary calls and meetings and take detailed notes to be sent to the client and team following each call as a recap.
  • Coordinate domestic and international travel, including flight, hotel, and ground transportation arrangements. Ensure travel is organized most efficiently and cost-effectively. Some travel may be required for this role.
  • Aid in compiling, organizing, and presenting client reports and data using Google Docs and Google Presentations.
  • Conduct various types of research as necessary to support the CEO and the team.
  • Assisted in various administrative tasks, including but not limited to email correspondence, document preparation, filing, and record keeping.
  • Handle sensitive and confidential information with the highest level of discretion.
  • Assisting Other Executives: Support other executives within the company, particularly in tasks related to aiding the CEO. This might involve coordinating schedules, managing communications, and facilitating meetings that involve the CEO and other executives 
  • Community Management on Social Media: Conduct community management duties on CEO social media channels. This includes monitoring, moderating, and responding to comments, as well as helping to develop and implement strategies to increase engagement and community presence.
  • Supporting the CEO's personal brand on social media: Assisted in creating and managing content for the CEO’s personal brand on various social media platforms. This involves collaborating on content ideas, scheduling posts, and monitoring the engagement and feedback from the audience.
  • Managing #CLOSINGDAY Agency Brand Content: Play a key role in handling the content for the #CLOSINGDAY Agency brand channel. This entails content creation, scheduling, analyzing performance metrics, and engaging with the audience to enhance brand visibility and reputation.
  • Project Management: Oversee and manage various projects, ensuring they align with the CEO's vision and company objectives. This includes planning, execution, monitoring, and closing of projects, as well as coordinating with different teams and stakeholders to achieve desired outcomes. 
  • 3+ Years of proven experience as an Executive Assistant or similar role.
  • Advanced proficiency in Google Suite (Google Calendar, Google Docs, Google Sheets, Google Presentations).
  • Excellent research skills and the ability to compile data into meaningful reports.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication skills.
  • Ability to work in a fast-paced environment and to prioritize tasks to meet deadlines. 
  • Flexibility and adaptability to changing workloads.
  • Must have transportation. • Discretion and confidentiality.
