Job description

Portland Webworks is seeking a Project Coordinator to join our Project Management and Quality Assurance team.  Portland Webworks is known for bringing useful and elegant solutions to the public sector to help citizens learn about, apply for, and receive benefits. We help government agencies run more efficiently and ensure projects are run on time, budget and scope.

Our website portfolio is growing and we are looking for someone new to project management who wants to learn and expand their skills in the project management space, specific to consulting and professional services. The role will report to and work in-step with the Director of Project Management on a daily basis. This role will start as a primarily supporting role to the Director and project management team, but will have the opportunity for growth into an autonomous Project Manager role, with the responsibility of managing larger projects. Base salary range for this position is average for Portland, Maine: $50-75k per year. 

Given contracting requirements of our clients, this position has a working location within the United States. Candidates physically located outside of the US will not be considered for this role. 

As a Project Coordinator at Portland Webworks, you can expect to:

  • Coordinate and support Drupal and custom web application projects through all phases: discovery, design, development, QA, deployment, and maintenance.
  • Facilitate and participate in Agile ceremonies, including sprint planning, daily stand-ups, sprint reviews, retrospectives, and backlog grooming sessions.
  • Champion Agile values and principles across the team; help foster a culture of collaboration, continuous improvement, and customer focus.
  • Maintain project documentation including sprint boards, project timelines, task assignments, action items, and meeting notes. AI tools can be used but manual review of documentation must be completed to ensure accuracy. 
  • Collaborate with the Creative Team and Business Analysts to ensure user stories and requirements are well-defined and prioritized.
  • Track progress and help remove blockers by coordinating cross-functional teams and escalating issues when needed.
  • Monitor Jira to ensure accurate ticket status, sprint health, and timely updates.
  • Assist with QA & UAT coordination by tracking test cycles and helping manage client feedback loops.
  • Support resource planning and project resourcing needs across multiple concurrent initiatives.
  • Help ensure alignment with project goals, scope, and budget throughout the project lifecycle.

As a Project Coordinator at Portland Webworks, you will bring the following skills:

  • Bachelor’s degree in Project Management, Web Development, Communications, or a related field (or equivalent experience).
  • 2+ years of experience in a project coordination role within a web development or digital agency environment or similar professional experience. 
  • Strong organizational skills and attention to detail with the ability to manage multiple deliverables and deadlines.
  • Understanding of Agile methodologies (Scrum, Kanban) and experience supporting Agile delivery teams is preferred but not required. PWW will provide certification courses as needed. 
  • Willingness to learn the technical skills needed to manage Drupal and custom software development projects. 
  • Experience in project and collaboration tools such as Jira, Confluence, Zoom, Google Workspace or similar.
  • Excellent written and verbal communication skills with a strong client-service orientation.
  • Comfortable collaborating with cross-functional technical and non-technical teams.
