Job Title: Client Service Associate
Location:
Remote (EST Time Zone)
Salary Range:
up to 3000 USD

Work Schedule:
Full-time, Monday - Friday, 9:00 AM to 6:30 PM (EST). Flexibility is required to support clients across time zones and provide high-touch service beyond standard hours.

Position Overview:

The Client Service Associate will play a key role in supporting client-facing operations, internal administrative workflows, and document management. Reporting to the Director of Client Services, this role will ensure timely execution of day-to-day client tasks, accurate data processing across platforms, and high-standard service in a fast-paced, high-touch environment.

Key Responsibilities:

  • Support client onboarding by maintaining accurate records across CRM, wealth management, and file systems.
  • Execute daily administrative requests and broader internal projects.
  • Assist with client vendor coordination and select bill pay support.
  • Manage and process sensitive client forms and documentation.
  • Organize and reconcile client data across platforms (e.g., Dropbox, CRM, wealth visualization tools).
  • Ensure accuracy, consistency, and regulatory compliance across all data touchpoints.
  • Collaborate with internal stakeholders and respond proactively to task updates.
  • Maintain a high level of confidentiality and professionalism in all client interactions.
  • Participate in professional development through workshops and internal resources.


Qualifications:

  • 3+ years in client service, administrative, or analyst roles, ideally within financial services.
  • Experience with CRM systems (e.g., Wealthbox), file storage (e.g., Dropbox), and task tools (e.g., Monday.com); others like Masttro or Arch are a plus.
  • Comfortable managing sensitive data in regulated environments (e.g., GDPR, SEC).
  • Detail-oriented, proactive, and able to meet deadlines in a fast-paced setting.
  • Strong communication and interpersonal skills.
  • A bachelor's degree in Business, Operations, Accounting, or a related field is preferred.


Nice-to-Haves:

  • Prior experience supporting UHNW clients or family office environments.
  • Familiarity with investment or financial document workflows.
  • Strong organizational systems mindset and multitool fluency.
