Job Summary:

The Campaign Specialist plays a critical role in the execution and coordination of our local advertising campaigns across multiple Out of Home (OOH) markets. This role is responsible for ensuring smooth production operations, post-buy management, billing accuracy, and excellent internal and external communication. Acting as the operational hub of our OOH team, the Specialist manages the production Ship List, leads monthly billing discrepancy resolution, and oversees posting instructions for all accounts. They serve as a vital liaison between internal teams, vendors, and external partners to ensure campaign excellence and accountability.  This role is ideal for someone who is highly organized, detail-oriented, solution-driven, and thrives in a fast-paced, dynamic environment. 

Key Responsibilities:

Campaign Management & Execution

  • Own and manage the production grid across all active accounts, ensuring accuracy in material delivery, install timelines, and scheduling alignment
  • Lead the creation, distribution, and tracking of posting instructions to ensure timely campaign execution
  • Oversee post-buy campaign activity including proof of performance, material tracking, and campaign close-outs

Billing & Financial Coordination

  • Lead resolution of monthly billing discrepancies in collaboration with media planners and accounting teams
  • Monitor and resolve invoice discrepancies, ensuring accuracy and timely payment
  • Ensure all buy documentation (ATBs, IOs, change orders, etc.) is correctly issued and stored

Communication & Collaboration

  • Contribute to communication & sharing across all teams, building credibility among internal/external partners
  • Attend weekly team meetings, contribute to communication & sharing with team
  • Serve as a central liaison between clients and vendors to manage timelines, address issues, and provide real-time updates
  • Build and maintain strong relationships with internal teams and external partners to foster seamless communication and project success
  • Compile and distribute regular campaign status reports, proactively identifying and addressing potential issues

Required Skills & Qualities:

  • Excellent written and verbal communication skills
  • Strong problem-solving and issue-resolution abilities
  • Exceptional attention to detail with organizational and multitasking strengths
  • High sense of urgency with the ability to meet deadlines under pressure
  • Proficiency in Microsoft Office (Excel, Outlook, PowerPoint); ability to learn and adapt to new platforms quickly
  • Basic understanding of digital out-of-home advertising and IT terminology is a plus
