Job description

Overview:

SageSure, a leader in catastrophe-exposed property insurance, is seeking an Office Operations Associate. This candidate will collaborate with team members in providing day-to-day operational support in our Chicago facility, including administrative, technology, purchasing, mail handling, and processing. 

 

What you’d be doing: 

  • Provide front-line Facility Operations duties 3-4 days a week. 
  • Daily Mail Handling and Mail Processing including and coordinating shipments. 
  • Responsible for keeping the Chicago office suite in a safe and clean condition. 
  • Coordinate and oversee local safety drills, local facility repairs, renovations, and maintenance activities, including managing local contractors and vendors. 
  • Maintain an effective and flexible Chicago office seating plan including guest management. 
  • Work with the local culture team to operationally support both local and national office events and meetings.  
  • Provide support for executives and guests as needed. 
  • Ensure that all Chicago visitor security arrangements are coordinated throughout the organization. 
  • Picking up food or catering orders and assisting local team members with any facility support requests. 
  • Maintain IT and Facilities’ inventories and process any needed purchases of inventory or supplies maintaining the stocking of healthy snacks, coffee/tea, and cold beverages in the kitchen. 
  • Assist in monthly departmental metrics reporting and provide ad-hoc usage reports as requested on key systems for the department. 
  • Will be cross trained to provide support services and perform other duties as assigned. 

 

We’re looking for someone who has:  

  • A High school diploma or equivalent. 
  • 2+ years’ experience in an administrative capacity. 
  • Comfortable using MS Office suite. 
  • Attention to detail, and diplomacy in handling high-stress situations. 
  • High energy and able to provide exceptional service and support. 
  • Ability to project a professional, businesslike image in the office including proper business attire, language, body language, and demeanor. 

 

 

Highly preferred candidates also have:  

  • Strong Proficiency with Microsoft software including Outlook, Word, Excel, SharePoint and PowerPoint. 
  • Bilingual in Spanish.
