Exchange Bank is seeking a Loan Operations Manager to provide leadership and strategic direction for a technology-enabled and operationally centric loan service center. This role plans, directs, and manages the day-to-day activities of the LSC to achieve operational efficiencies, ensure quality service, mitigate risk, and deliver upon Exchange Bank’s service level agreements.
Candidates should have experience in day-to-day loan operations management including documentation, boarding, funding, servicing, accounting, reporting, and QA functions in a commercial and/or wholesale lender. The ideal candidate will be a strategic and analytical problem solver/leader/innovator with a proven track record of success in building teams, gaining buy-in and effecting positive organizational change.
Essential Functions:
- Develop and implement initiatives to improve team performance and productivity including improving and automating processes for efficiency.
- Manage and support department managers to ensure efficient and effective preparation and processing of consumer, real estate, and commercial loan documentation. Ensure quality standards and service level agreements are achieved.
- Lead staff in analyzing existing processes and recommending workflow and related automation solutions to improve efficiency and ensure consistent and timely results. Facilitate implementation of such solutions through collaboration.
- Identify loan operation department risks and develop relevant operating procedures and requirements to address and mitigate risks.
- Oversee staff engagement with other departments to ensure Exchange Bank customers receive a high-quality and consistent service experience across all branches and channels.
- Oversee the development of standard loan operating procedures to include an annual review of routine operating guides.
- Analyze organizational workflows and production results. Develop and implement enhancements and changes to reduce duplication of effort, increase productivity, improve efficiency, and eliminate errors.
- Ensure loan processing systems updates are implemented. Fulfill required reporting needs and ensure department activities meet regulatory requirements.
- Develop short and mid-range goals for departmental quality, productivity, and operating standards and KPIs. Oversee the Loan Operations teams’ day-to-day performance and ensure accountability for qualitative and quantifiable results.
- Establish, review, maintain and modify procedures and system controls to ensure loan servicing activities comply with internal risk control processes and current regulatory requirements.
- Coordinate loan servicing unit’s inter-departmental involvement with product and procedural enhancements.
- Plan and control department hiring, promotion, and performance processes while managing, mentoring, and improving staff performance and professional development.
- Lead and facilitate completion of department’s operational projects ensuring that they are completed by each unit as assigned.
- Participate in management decision-making and improve the operational and business efficiencies of the Bank and future enhancements to maximize analysis and efficiencies.
- Evaluate and advise senior leadership on the impact of new programs, strategies and regulatory actions on the long-term strategic plans for the Bank.
- Ensure effective interface and communications between loan servicing, credit and lending.
- Assume an active, positive and visible leadership role within the Bank through regular dialogue with staff and management throughout the organization.
- Participate in and represent the Bank at various internal and community functions and events.
Required Experience and Qualifications
- Minimum of five years of managerial experience in commercial lending operations.
- Experience leveraging systems to drive automation within the loan servicing function. Experience with FIS is highly desirable.
- Knowledge of existing industry standards, technologies, and operational norms.
- Ability to recognize opportunities to utilize existing and emerging technologies to maximize effectiveness.
- Demonstrated leadership experience and impact in:
- Building Leadership teams; and
- Organizational and positional influence without having direct supervisory relationships.
- Possess collaborative decision-making abilities to forge successful partnerships across organizational boundaries, at both senior and operational levels.
- Strong process and analytical skills, excellent interpersonal and communication skills, and possess the ability to work collaboratively with a variety of stakeholders at all levels.
- Aptitude for analytics and reporting.

Education
- A combination of education and experience equivalent to a Bachelor’s degree in business, accounting, finance or related field; and knowledge typically gained through a minimum of five to ten years of commercial and/or wholesale lending.
Compensation
Salary range for this position is $130,000 to $175,000 per year.
