Job description

Reports to: Fractional Chief People Officer (CPO)
Location: Hybrid / Remote
Employment Type: Full-time
Schedule: Mondays-Friday, 7am-4pm, PH Time
 
Position Purpose:

The HR Operations Specialist will play a pivotal role in supporting the People & Culture function through the implementation and ongoing management of core HR operations. This includes supporting the implementation of Rippling HRIS modules, managing key employee lifecycle processes, and ensuring operational excellence across recruitment, onboarding, performance, compensation, and employee relations. The role requires someone hands-on, detail-oriented, and comfortable working with a fractional CPO and dynamic leaders across Australia, the UK, and the US.
 
Key Responsibilities:

1. HRIS Implementation & System Administration
  • Support implementation of Rippling modules including:
  • Applicant Tracking System (ATS)
  • Learning Management System (LMS)
  • Performance Planning
  • Culture & Engagement Surveys
  • Onboarding/Offboarding automation
  • Payroll migration from Xero to Rippling (Australia & UK)
  • Serve as the primary administrator for Rippling (excluding payroll), ensuring data accuracy, system hygiene, and user support.
2. Recruitment & Onboarding Support
  • Provide end-to-end recruitment coordination and advice to hiring managers.
  • Govern employee offer and contract issuance processes.
  • Maintain consistency and quality in onboarding and welcome experiences across geographies.
3. Core HR Operations
  • Maintain and update the HR policy library and Confluence intranet content.
  • Coordinate learning and development logistics and LMS content management.
  • Support HR calendar activities including performance reviews and engagement surveys.
4. Compensation & Performance
  • Assist with quarterly performance cycle coordination and coaching materials.
  • Support salary review cycles, incentive plans, and ESOP administration.
  • Help benchmark compensation data and prepare communications to leaders and staff.
5. Employee Relations & Lifecycle
  • Act as first-level support on employee conduct and grievance matters.
  • Guide leaders through terminations, exit processes, and compliance documentation.
  • Provide responsive support to leaders and employees on routine HR queries and processes via Rippling workflows.

Key Relationships

  • Reports to: Fractional CPO
  • Works closely with: People Leaders, Finance (for payroll migration), External HR/payroll consultants (as needed)
  • Tools: Rippling, Confluence, Slack, Google Workspace, ATS platforms


Requirements
  • 3+ years in a HR generalist or operations role, ideally in a startup or global scale-up environment.
  • Strong working knowledge of HRIS systems (Rippling highly desirable).
  • Confident navigating employment matters across Australia and the UK.
  • Process-focused, with strong attention to detail and follow-through.
  • Ability to work independently with remote leadership and deliver outcomes reliably.
Desirable:

  • Experience with HRIS implementation or module rollout.
  • Exposure to compensation frameworks and ESOP administration.
  • Familiarity with tech-forward environments or venture-backed companies.
