POSITION SUMMARY:
The Benefits Specialist Provides comprehensive support to the Benefits function within Total Rewards, focusing on compliance, operational accuracy, and vendor coordination. Manages and validates the flow of benefits-related data across systems and vendors, ensuring demographic, eligibility, and payroll data remain accurate through audits and error resolution. Supports ACA eligibility tracking, 401(k), FSA, and HSA data management, and compliance mailings. Coordinates required regulatory reporting and filings, including 1095-C and 1094-C. Assists with development of benefit presentations, internal communications, and annual open enrollment materials. Collaborates with the Benefits Broker and internal teams to ensure program accuracy and timely delivery of notices, files, and system updates. Provides peer review and backup coverage for benefit communications, inquiries, and system processes.
Primary Duties and Responsibilities:
- Validate and monitor demographic, eligibility, and payroll data through weekly and monthly file processes
- Support ACA tracking, 1095-C/1094-C filings, and 401(k), FSA, HSA administration tasks
- Coordinate required compliance mailings including NOCC, CHIP, SARs, and other notices
- Assist in preparing internal benefit presentations, and open enrollment materials
- Maintain and update benefits portal content and documentation
- Serve as liaison with vendors and internal partners for error resolution and data integrity
- Participate in regulatory reporting, survey submissions, and benefit system updates
- Provide support for educational assistance, commuter benefits, and peer reviews
- Assist with resolution of benefit-related employee issues and inquiries
- Process mail, incoming checks, QMSCO and other benefit data requests
- Provide backup for key benefit functions including employee communications and audit prep
Education:
- Bachelors degree in Human Resources or related field preferred
Experience:
- Two to three years of related experience
Other knowledge, skills, and abilities:
- Detail-oriented with strong organizational and follow-through skills
- Familiarity with HRIS and benefits platforms (e.g., SAP, BenefitFocus)
- Effective communicator with ability to handle sensitive data discreetly
- Comfortable managing recurring processes and navigating vendor systems
- Strong Excel and document preparation capabilities
- Ability to think critically, conduct root cause analysis, make decisions and work independently
- Demonstrated ability to handle and resolve complex benefit issues
- Strong commitment to customer service, effective interpersonal skills and the ability to communicate clearly
- Presentation skills
