HR Associate

This role is ideal for someone who thrives in a fast-paced environment and is eager to help shape and evolve the people processes. Key responsibilities include assisting with recruitment by generating and updating job descriptions, managing job boards, candidate scheduling, and supporting onboarding and offboarding processes. The HR Associate will also play a key role in supporting the HRBP and the broader organization, focusing on HR initiatives. This position requires a proactive approach to fostering a positive workplace culture and providing exceptional support to our employees. This is an excellent opportunity for someone who wants to get into the Human Resources field and have great exposure to a growing organization.

This role is based on site in our Lexington, MA office with the expectation that employees are onsite four days per week (M-Th) supporting in person collaboration, connection and shared momentum.

Responsibilities (including, but not limited to):

  • Maintain candidate pipeline and update recruiting records in ADP WFN, as well as maintaining the Employee Referral Tracker and other record keeping sources
  • Maintain job postings, including ensuring accuracy of postings on LinkedIn and other external locations
  • Partnering with the administrative support team and hiring managers to ensure successful scheduling of interviews
  • Completing thorough references and background checks on final candidates and preparing offer paperwork. This includes offer letter creation, employment files, onboarding communication, follow-ups, etc. 
  • Prepare and submit new hire and termination tickets via the ticketing software, first day/last day calendar notifications, preparing offboarding emails and documentation.
  • Coordinate the logistics of employee onboarding with hiring managers and other stakeholders to ensure a successful onboarding experience
  • Create and maintain employee-facing communications to assist with employee self-service and other processes related to HR systems and procedures
  • Assist in delivering new-hire orientations, ensuring smooth and accurate onboarding of new hires
  • Maintain employee records and be a back-up for the HR team with the I-9 verification process and upkeep, orientation and training, benefits administration as needed.
  • Respond to verbal and written verification of employment requests as needed
  • Respond to employee questions in a friendly, helpful, and timely manner
  • Make recommendations for process improvements and automation
  • Assist with ad-hoc projects and other administrative tasks to support the team, as needed

Qualifications:

  • Bachelor’s degree with 2+ years of relevant experience in a Human Resources
  • Ability to uphold a strict level of confidentiality and discretion
  • Exposure to HRIS software is preferred
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
  • Excellent written and verbal communication skills
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks with excellent attention to detail
  • Very strong interpersonal skills
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Salary is commensurate with experience
