HR Assistant - Fremont, CA

Northland Control Systems, Inc. are seeking a dependable and detail-oriented HR Assistant to support a variety of administrative tasks across our Human Resources, Training, and Safety functions.  This position is located in Fremont, CA.  A minimum of 4 days in the office is required.

Job Overview

The HR Assistant will support day-to-day administrative activities across the HR function and provide crucial support for the company’s training and safety programs. This includes maintaining employee files, tracking course enrollments, submitting forms and purchase orders, and ensuring proper documentation and compliance with internal policies and external regulations. The role offers exposure to global processes and growth opportunities within a high-performing, fast-paced company.

 

 

 

Key Responsibilities

HR & Administrative Support

  • Prepare, file, and maintain employee documentation, ensuring confidentiality and accuracy
  • Maintain up-to-date records in HR systems and spreadsheets
  • Help track HR activities and follow up on pending items
  • Assist with HR inbox monitoring and timely responses to employee queries

 

 

Recruitment & Onboarding Assistance

  • Support recruitment logistics such as interview scheduling and candidate communication
  • Help prepare onboarding documents and coordinate orientation logistics
  • Support the referral program process and assist with tracking

 

 

Training & Safety Administration

  • Track training and development course enrollments across departments
  • Submit training enrollment forms and track associated purchase orders
  • Monitor and follow up on training completions and documentation
  • Maintain digital records of training history, certifications, and compliance audits

 

 

Safety Program Support

  • Maintain and update incident logs and track corrective actions
  • Log and monitor workplace accidents and near-miss events
  • Track safety-related training completions and certifications
  • Assist in compliance reporting (e.g., OSHA) and internal safety communications
  • Collaborate with facilities or operations for safety documentation and support

 

 

Data & Process Coordination

  • Maintain accurate records in our HRIS (Paycom)
  • Track approvals for job requisitions and offers
  • Assist in drafting standard HR templates and offer letters

 

 

General HR Operations

  • Support compliance tasks such as background checks and I-9 verifications
  • Maintain and organize employee files and HR document repositories
  • Assist with benefit administration follow-up and document collection
  • Partner with HR colleagues globally to support shared documentation needs and process consistency

 

 

 

Required Qualifications

  • 1–2 years of administrative experience, ideally within an HR or office support role
  • Strong organizational skills and attention to detail
  • Effective communicator, both verbally and in writing
  • Comfortable handling confidential information
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • Ability to work independently and as part of a cross-functional team

 

 

 

Preferred Qualifications

  • Experience using an HRIS or applicant tracking system (Paycom a plus)
  • Previous support experience in a global or fast-paced company
  • Familiarity with training coordination or safety program administration
  • Interest in developing a career in Human Resources or workplace compliance

 

 

 

Work Conditions

  • Hybrid office attendance (four in-office days)
  • Flexibility may occasionally be required to support global activities
  • Some exposure to international HR practices, safety documentation, and compliance workflows
  • Hourly position pays between $24 to $28 per hour.
