Description

Position Summary

The Senior Internal Communications Specialist is responsible for collaborating with marketing, human resources, executives, and other internal staff to foster a positive, inclusive, and values-driven workplace. This role leads efforts to enhance the employee experience through culture-building, internal communications, recognition, and community engagement.

This position will work closely with key stakeholders to ensure all internal communications are clear, consistent, and aligned with the Company’s culture, goals, and values. This role involves coordinating and overseeing various marketing initiatives, ensuring projects are completed on time, within budget, and to the highest standards.

Essential Functions and Duties

Internal Communications

  • Develop and lead internal communication strategies to inform, engage, and inspire employees at all levels.
  • Research, write, and deliver high-quality content for internal emails, newsletters, videos, employee presentations, instructions, and event communications.
  • Create, update, and maintain engaging content on the company intranet, ensuring information is timely, relevant, and aligned with company standards.
  • Script and manage content for company videos, including new hire welcome videos, company overview segments (e.g., “Who We Are at Company”), and executive messaging.
  • Promote internal initiatives and events to strengthen employee engagement and company culture.
  • Collaborate with HR and leadership to drive participation in engagement activities (e.g., coffee chats, recognition programs, internal polls) while maintaining an editorial calendar.
  • Administer internal surveys and interpret results for leadership insights and communication planning.
  • Uphold consistency and quality in all internal messaging in accordance with the company’s style guide.

Culture Building & Employee Experience

  • Partner with leadership and HR to define, communicate, and reinforce company values and cultural expectations.
  • Design and execute programs that celebrate milestones, recognize employee contributions, and strengthen a sense of belonging.
  • Facilitate cross-functional culture initiatives, including Diversity, Equity & Inclusion (DEI), wellness, and employee resource groups (ERGs).
  • Gather and respond to employee feedback to shape a positive workplace culture and increase retention.
  • Support onboarding and orientation programs that immerse new hires in company culture from day one.

Engagement Strategy & Communication

  • Plan and manage regular engagement activities (e.g., appreciation events, team-building experiences, pulse surveys).
  • Develop compelling internal communications that promote engagement initiatives, values-based storytelling, and community-building.
  • Collaborate with internal communications and marketing teams to promote culture through newsletters, intranet, and digital channels.
  • Track and report on employee engagement metrics and propose data-driven improvements.
  • Coordinate annual engagement calendar and culture campaign rollouts aligned with HR and business goals.

Community Outreach

  • Plan and support quarterly community outreach initiatives in partnership with HR.
  • Represent the company in local community partnerships, nonprofit activities, and volunteer events.
  • Communicate community involvement stories and impact to internal and external audiences in digital formats.

Project Management

  • Serve as the marketing representative to help oversee cross-functional communication and outreach projects from concept through execution.
  • Manage the annual holiday card and company calendar projects, including messaging, creative coordination, and production timelines.
  • Leverage project management tools (e.g., Asana, Smartsheet, Microsoft Project) to track milestones and ensure timely delivery.
  • Collaborate with marketing, HR, and leadership teams to support internal campaigns, employee events, and culture initiatives.
  • Participate in regular department meetings and contribute to continuous process improvements.

  • Ensure conduct is consistent with all Compliance Program Policies and procedures when engaging in any activity on behalf of the company. Immediately report any concerns or violations.

Qualifications

Education, Knowledge, Skills and Experience

Required Education:

  • Bachelor’s degree in communications, journalism, public relations or a related field required; or four (4) years of relevant experience in lieu of degree.

Required Knowledge:

  • Advanced Microsoft Word skills; intermediate PowerPoint skills; basic Microsoft Excel skills
  • Advanced Prezi software skills
  • Advanced use of project management tools such as Asana or Microsoft Project
  • Basic understanding of Internet technologies

Required Experience:

  • Minimum ten (10) years [fourteen (14) for non-degreed candidates] of previous working experience as an Internal Communications Specialist or performing related essential functions and duties. 
  • Experience and knowledge in professional copywriting, proofreading, and editing
  • Excellent portfolio with proven track record of successful project examples

Physical requirements

Vision, hearing, speech, movements requiring the use of wrists, hands and/or fingers. Must have the ability to view a computer screen for long periods and the ability to sit for extended periods. Must have the ability to work the hours and days required to complete the essential functions of the position, as scheduled.  Must have the ability to lift and maneuver items of at least 20 pounds. Must have the ability to travel occasionally. Working condition include normal office setting.

Learning, thinking, concentration and the ability to work under pressure, particularly during busy times.   Must be able to pay close attention to detail and be able to work as a member of a team to ensure excellent customer service.  Must have the ability to interact effectively with co-workers and customers, and exercise self-control and diplomacy in customer and employee relations’ situations.  Must have the ability to exercise discretion as well as appropriate judgments when necessary.  Must be proactive in finding solutions
