Job description

GrowthAssistant is seeking a skilled and motivated Healthcare Operations Coordinator to support a panel of patients by managing bookings, coordinating lab work, and ensuring timely, empathetic communication through chat and email. You’ll collaborate with clinicians and internal teams to resolve concerns, track patient progress, and maintain accurate records across multiple platforms

Salary: Up to Php 60,000 depending on experience

Must-Have:

  • 2+ years of experience in booking coordination, operations support, or a similar role.
  • 2+ years of experience using Zendesk (or any CRM, Zendesk is preferred)
  • Strong organizational skills and attention to detail.
  • Proficiency with platforms like pharmacy partner order tracking and Electronic Medical Record (EMR) or Electronic Health Record (EHR)
  • Effective communication and problem-solving skills.
  • Experience in healthcare, wellness, or professional services industries.
  • HIPAA certified
  • May need to work on holidays (with double pay or extra time off)

Core tasks:

  • Serve as the primary support contact for a panel of patients.
  • Schedule appointments, follow-up visits, and coordinate lab work or diagnostic testing.
  • Answer patient questions regarding services, timelines, and treatment plans in a timely and empathetic manner via email or chat.
  • Collaborate with Lifeforce clinicians, coaches, and the operations team to resolve customer concerns.
  • Track patient progress and ensure follow-ups and key milestones are completed.
  • Maintain accurate patient records in our CRM or Electronic Medical Record (EMR) systems.
  • Escalate customer concerns to appropriate licensed providers or internal team members as needed.
  • Reach out to pharmacists about customer concerns. 
  • Process backend tasks as needed. 
  • Can manage multiple systems/platforms simultaneously. 
  • Collaborate with other teams to resolve any issues or escalations related to bookings, availability, prescriptions, or provider concerns.
  • Communication is purely chat and email, with no phone support (customer).  Phone support is needed when calling pharmacies (but not often).
