Job Description

We are looking for an Operations Support Specialist to join our Tech Office Team at InPost Technology. This role is essential in supporting our technology operations by managing purchase orders, IT contracts, procurement compliance, and billing processes. Key Responsibilities:

  • Purchase Order Processing

    • Lead, Manage the end-to-end purchase order process for technology purchases, from initiation to goods receipt
    • Create purchase requisitions and purchase orders in SAP, ensuring accuracy and compliance with company policies
    • Track purchase order status and resolve any issues with vendors or internal stakeholders
    • Maintain organized records of purchase orders and related documentation
  • IT Contract Management

    • Assist in the review and processing of IT contracts, ensuring compliance with legal and financial requirements
    • Maintain a central repository of IT contracts and related documentation
    • Collaborate with legal and finance teams to ensure contract compliance
  • Procurement Compliance

    • Ensure compliance with company procurement policies and procedures
    • Assist in the development and maintenance of procurement guidelines and documentation
    • Monitor purchasing activities to identify and address any compliance issues
  • Billing and Invoicing

    • Process invoices for technology-related services and purchases
    • Reconcile invoices with purchase orders and goods receipts
    • Resolve billing discrepancies with vendors and internal stakeholders
    • Manage billing processes for tech-related services
  • Administrative & Process Support

    • Create and maintain documentation for operational processes and procedures
    • Identify opportunities to improve efficiency and streamline workflows
    • Participate in continuous improvement initiatives

Qualifications

Requirements:

  • 2+ years in operations support or administrative roles
  • 1+ year in purchase order processing or procurement
  • 1+ year in billing and invoicing
  • SAP system experience
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Knowledge of procurement and billing procedures
  • Problem-solving mindset and ability to work independently
  • Fluent in English

 

Nice to have:

  • Experience in IT contract management
  • Background in the technology/IT industry
  • SAP training or certification
  • Procurement-related certifications
  • Degree in Business Administration, Operations Management, or related field
