Job description

Job Summary:

Creative Chaos is looking for an Associate Operations Manager to support the operations team in driving efficiency and improving processes across the organization. This role will involve working closely with the Operations Manager to execute strategies that align with the company's goals and enhance productivity. The ideal candidate is detail-oriented, has strong analytical skills, and is passionate about operational excellence.

Key Responsibilities:

  • Monitor and manage the ClientHub portal, ensuring client profiles, business details, and service packages are accurate and up to date.
  • Ensure client tasks are properly created, managed, and aligned with their business needs.
  • Oversee internal task/job creation to ensure it reflects each client’s scope and service level.
  • Monitor client communications on ClientHub and email to ensure the team responds promptly and professionally.
  • Track and verify team time entries and timesheet submissions on POPs for accuracy and consistency.
  • Ensure end-to-end service delivery processes are followed across all client engagements.
  • Create and maintain SOPs and operational processes – this is a core responsibility of the role.
  • Continuously assess and improve workflows and internal operations for better efficiency.
  • Manage access control by granting or revoking team access across operational platforms.
  • Handle other day-to-day operational matters and support the leadership team as needed.

Requirements

  • Bachelor’s degree in Business Administration, Operations Management, or a related field.
  • 3-5 years of experience in operations, project management or a similar role.
  • Strong analytical skills with proficiency in Excel and reporting tools.
  • Proven track record in creating SOPs and managing process documentation
  • Excellent problem-solving abilities and a proactive approach to identifying solutions.
  • Strong communication and interpersonal skills to work collaboratively with various teams.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
