Description

Rigaku is seeking a detail-oriented and organized Office Manager to oversee the daily administrative functions and ensure the smooth and efficient operation of our office environment. This position plays a key role in creating a positive workplace experience, including managing office logistics, supporting front desk operations, and coordinating internal events.

Key Responsibilities
  • Maintain and facilitate the upkeep of office equipment, including fax machines, shared printers, coffee machines, and postage systems.

  • Greet and welcome visitors and employees, ensuring a professional and courteous reception experience.

  • Manage the main switchboard and route calls appropriately.

  • Sort and distribute incoming USPS mail.

  • Maintain and replenish office supplies by coordinating with the Purchasing department.

  • Oversee site vendor services such as coffee, vending, water filtration, and document shredding.

  • Administer and troubleshoot security badge access for employees and guests.

  • Support visitor arrangements including meeting space reservations, catering, and logistics.

  • Plan and coordinate office events (e.g., team lunches, holiday parties, employee appreciation activities), ensuring thoughtful execution and budget adherence.

  • Perform other administrative duties and tasks as assigned.

Qualifications

Required Skills & Competencies
  • Knowledge of office management practices and procedures.

  • Strong event planning and organizational skills.

  • Excellent verbal and written communication abilities.

  • Professional demeanor with outstanding interpersonal and customer service skills.

  • Ability to manage time effectively and handle multiple tasks.

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.).

  • Flexibility and adaptability in a dynamic environment.

Qualifications
  • Education:

    • High school diploma or equivalent required.

    • Associate’s degree in Office Administration or related field preferred.

  • Experience:

    • Minimum of 3 years in an administrative or clerical role.

    • Experience in office or event coordination is a plus.

Physical Requirements
  • Prolonged periods of sitting and computer use.

  • Ability to lift up to 15 pounds.
