Job description

This is a remote position.

Work Schedule:  2 days of the week 7:00am - 9:00pm Libertyville, IL (flexible days depending on availability of the chosen candidate) 


PRIMARY RESPONSBILITIES

  1. Takes accurate referral/service request information by phone.
  2. Receives all calls to the office which may include intake inquiries both verbal and/or written and directs all calls to the correct person in the office.
  3. Contact clients promptly for any caregiver changes and any schedule changes.
  4. Able to be proactive and work within tight deadlines to find fill in caregivers for the clients for any call offs.
  5. Schedules shifts and hours by matching caregiver qualifications and availability to clients’ needs.
  6. Coordinate and maintain monthly client schedules in the WellSky Personal Care system.
  7. Contact each client after the first shift to determine compatibility with the caregivers.
  8. Coordinate and assign assignments and/or schedule changes to caregivers.
  9. Build and maintain positive relationships with caregivers, regularly checking their availability for shifts.
  10. Handle high-stress situations and deadlines, especially in fulfilling new or emergency staffing needs.
  11. Review caregiver schedules to verify accuracy for payroll and client billing purposes.
  12. Review scheduled hours of the caregivers to ensure accurate payroll and billing processes.

 

SECONDARY RESPONSIBILITIES

  1. Document and enter accurate caregiver and client information in the WellSky Personal Care system for any reporting such as incident report, general note, complaint, compliment, any activity / feedback from clients and caregivers etc.
  2. Monitor care logs of caregivers to ensure all tasks are completed.
  3. Assist HR Manager as needed with orientation, recruitment and hire of new candidates for employment.
  4. Develop and maintain positive relationships with all clients through quality assurance check-ins and phone calls.
  5. Work with other team members to coordinate various aspects of a client’s care. 
  6. Assist with team to conduct a survey with each client or decision maker at the end of service.
  7. Other assigned duties by the direct supervisor and Administrator


Requirements
  • Availability for Extended Shifts: Ability to work long hours during assigned shifts while maintaining focus and efficiency (20- 25 hours/ week)
  • High Call Volume Management: Capable of handling a large volume of incoming and outgoing calls with professionalism and poise.
  • Clear Communication: Excellent verbal and written communication skills, with the ability to convey information accurately and effectively.
  • Strong Internet Connection: Reliable and stable internet service is a must to ensure uninterrupted workflow.
  • Customer Service Excellence: A positive attitude with a strong customer service approach, ensuring client satisfaction and building lasting relationships.
