Job description

This is a remote position.

Work Schedule: Monday through Friday 8-5pm AZ time. 

Job Overview:
We are seeking a highly organized and experienced Property Manager / Bookkeeper to join our team. The ideal candidate will possess deep expertise in AppFolio and QuickBooks, and will play a critical role in managing the financial operations of our property management business. This position requires a detail-oriented professional who is capable of implementing and managing full-cycle accounting processes, with a strong focus on accuracy, compliance, and efficiency.

Key Responsibilities:
  • Owner Distributions:
    • Prepare and execute accurate and timely owner draws.
    • Ensure all supporting documentation is in order and compliant.
  • Accounting & Reconciliation:
    • Perform monthly reconciliations of bank accounts and credit cards.
    • Maintain general ledger and resolve discrepancies on time.
    • Oversee tenant and owner accounting, including trust accounting compliance.
  • Software Expertise:
    • Utilize AppFolio to manage day-to-day property accounting operations.
    • Integrate and sync data between AppFolio and QuickBooks to maintain accurate records.
  • Invoice & Payables Management:
    • Upload, code, and pay invoices using AppFolio.
    • Communicate with vendors regarding billing inquiries and maintain W-9 and 1099 records.
  • Accounting Systems & Best Practices:
    • Build, document, and implement end-to-end accounting workflows.
    • Establish best practices for reporting, reconciliations, and cash flow management.
  • Reporting & Compliance:
    • Generate monthly, quarterly, and annual financial reports for internal stakeholders and owners.
    • Assist with tax preparation and liaise with external accountants as needed.


Requirements

  • Minimum 3–5 years of experience in property management bookkeeping.
  • Extensive hands-on experience with AppFolio and QuickBooks Online.
  • Deep understanding of property management accounting principles, including trust accounting.
  • Strong organizational skills and the ability to prioritize multiple tasks.
  • Excellent communication and problem-solving skills.
  • High attention to detail with a proactive and self-motivated approach.

Preferred Qualifications:
  • Experience building accounting processes and SOPs from the ground up.
  • Familiarity with state-specific property management regulations.
  • Background in managing residential and/or commercial property portfolios.
