Job description

This is a remote position.

A USA entity who exists to provide innovative educational solutions is recruiting for a remote Executive Assistant. They create hands-on, engaging activities and lessons, and provide professional development and sell STEM-related products to ensure educators feel confident and equipped to teach students a real-world education effectively.

They are looking for a self-starter who is extremely organised and detail-oriented, has great communication skills,  and likes taking charge and organising others. The successful candidate will work 8 hours a day of which four needs to overlap with USA times. 

The Executive Assistant will primarily support the CEO as well as the human resources and the education departments with calendar management and scheduling, file and document management, travel bookings, coordination and ordering of supplies, filling their complex business and insurance
requirements, and supporting the hiring, onboarding and contract processes. The ideal candidate will be a resourceful critical thinker and creative problem solver who loves details, and can work independently within a fast-paced, small business environment. They are looking for someone who can anticipate needs, manage workflows, and maintain a high level of organisation, ensuring their busy CEO's time, priorities, and commitments are managed with precision and care.

Responsibilities:


  • Scheduling and managing multiple calendars

  • Coordinating and handling communications by managing and responding to emails

  • Tracking and organising project tasks and priorities, ensuring deadlines, to-dos, and follow-ups are managed seamlessly

  • Planning and booking travel arrangements, including flights and accommodations, and creating detailed itineraries

  • Filing documents and materials, organising and maintaining Google Drive folders

  • Assist with meeting and event preparation

  • Manage the HR onboarding tasks

  • Support team members and projects as needed
