Job Title: Chief of Staff

Type: Full-Time, Remote LATAM

Working Hours: Monday to Friday - 9am to 5 pm (CST)

Core availability for team collaboration and meetings between 9 AM – 5 PM CST.

Compensation: USD $2500 - 3300 (Salary based on assessment)

The Opportunity:

We are seeking an exceptionally talented and driven Chief of Staff to serve as the CEO's strategic partner, focusing on financial oversight and operational excellence. This is a unique opportunity to directly impact the company's growth trajectory and work closely with the CEO to drive key initiatives. The ideal candidate blends strong accounting principles with a passion for process improvement and a keen interest in leveraging technology to optimize operations. They'll be a hands-on, proactive force, diving into all areas to drive alignment, clarity, and optimal performance.

What You'll Do
  • Strategic Financial Oversight: Act as a trusted advisor and strategic thought partner to the CEO, providing critical insights and recommendations rooted in a deep understanding of P&L, cash flow, and accounting principles. You'll manage and oversee financial aspects, including bookkeeping and robust financial reporting.

  • Hands-on Financial & Operational Management: Dive into the details of our cash flow and financial modeling, optimizing our accounting structure (QuickBooks, TrueRev, Testorio). You'll also streamline integrations between our HubSpot CRM and customer operations.

  • Process Enhancement & Data Integrity: Work hands-on to improve and standardize information flow across the organization, establishing a single source of truth for all key decision-making. You'll proactively identify and implement opportunities to boost operational efficiency.

  • Executive & Cross-Functional Partnership: Serve as a strategic partner to the CEO and the entire leadership team. You'll participate in and facilitate strategic planning sessions, track progress on key performance indicators, ensure accountability, and manage the CEO's calendar, prioritizing appointments to maximize their effectiveness.

  • Tech Stack Optimization: Expertly leverage and optimize our existing tools, including HubSpot, QuickBooks, TrueRev, Testorio, Google Suite, Slack, and notably, Zapier.

  • Proactive Problem-Solving: Demonstrate exceptional proactivity, constantly seeking ways to improve processes, anticipate needs, and respond quickly to the team with clarity and a collaborative spirit.

Requirements

Must-haves:

  • Experience: 3+ years in a senior leadership or strategic role, ideally serving US clients.

  • Financial Expertise: Strong accounting/finance background (Bachelor's in Accounting, CPA, and US GAAP experience required), with deep understanding of cash flow dynamics and principles.

  • Communication: Exceptional English proficiency, paired with outstanding speed, clarity, and collaborative communication. A natural team player.

  • Operational & Strategic: A hands-on operator who can dive into details (financial modeling, tool integrations) while maintaining a strategic outlook.

  • Startup Acumen: Thrives in fast-paced startup environments, highly proactive, and possesses exceptional analytical, problem-solving, and decision-making skills.

  • Tech Proficiency: Mandatory expertise in HubSpot, QuickBooks, and Zapier. Familiarity with Google Suite is also essential.

  • Core Traits: Highly organized, meticulous attention to detail, strong judgment, curious, flexible, and comfortable representing the CEO in meetings.

  • Availability: Flexible schedule to accommodate urgent matters.
