Description

Georgia Military College announces an opening for the Military Education Specialist. The Military Education Specialist oversees the administration of Federal and State Military Education Programs, ensuring accurate reporting, payment processing, overpayment resolution, and compliance for both online and in-person students. Maintains student records in accordance with Federal VA and state approving agency regulations, including adherence to records retention and maintenance standards. Delivers high-quality customer service to support the recruitment and retention of military students across all modalities.
Enhances the delivery of Military Education and outreach initiatives by providing effective services and support to students, prospective students, and Grad Coaches. Serves as a backup to the Director, providing operational support during absences to ensure continuity of services.

 

Primary Responsibilities:

Support veterans, service members, reservists, and other eligible individuals in accessing Department of Veterans Affairs (VA) and Department of Defense (DoD) education benefits by

•    Certifying enrollments for students utilizing DoD education benefits at all GMC locations; collecting required documentation, adjusting Military Tuition Assistance (TA) awards based on enrollment changes, reporting enrollment updates, and posting final grades.

•    Completing the invoicing process for all Military Tuition Assistance (TA) programs.
•    Reviewing and submitting final grades for students receiving Military Tuition Assistance.
•    Serving as the School Certifying Official (SCO) for VA education benefits across all GMC locations; maintaining accurate records for each VA student, certifying enrollments, and submitting updates based on enrollment changes.

Perform a variety of clerical and administrative support tasks, including:
•    Printing, linking, and routing documents.
•    Monitoring and managing the team email inbox to ensure timely responses and follow-up.
•    Updating and maintaining accurate records for military-affiliated students in relevant systems

Perform additional responsibilities and special projects as assigned to support departmental goals and institutional priorities.

•    Processing and submitting invoices for students using Chapter 31 VA benefits.
•    Providing guidance to students and Grad Coaches on the various Military Education Programs and the completion of required documentation to ensure timely receipt of education benefits.


Ensure compliance with Federal, State, and Institutional eligibility requirements by:
•    Monitoring academic standing, satisfactory progress, and course applicability for all eligible veteran and military-affiliated students enrolled in both online and in-person programs.
•    Tracking enrollment status changes and ensuring timely submission of certification data to uphold federal compliance standards.
•    Staying informed of updates to Military Education programs and changes to certification policies and procedures.
•    Maintaining student records in strict compliance with GMC, State, and DoD, DVA regulations and retention policies.
•    Completing all required annual training and continuing education for School Certifying Officials.
•    Assist with preparation and support for compliance surveys and audits to ensure adherence to institutional, state, and federal regulations.
 

Qualifications

Minimum Requirements:

  • Associates degree
  • Minimum 1 year of experience in a business office or college financial aid/business office
  • Skill in oral and written communication, use of Microsoft Office software, use of office equipment, and proficiency in maintaining detailed records

 

Preferred Requirements:

  • Bachelor’s degree
  • Minimum 1 year experience in a financial aid/business office or 1-year supervisory experience in a comparable setting
  • Veteran status preferred
