Who YOU Are We are seeking a detail-oriented and organized Payroll Specialist to join our team. The ideal candidate will be responsible for managing and processing all aspects of employee payroll, ensuring accuracy, compliance, and timely disbursement. You will work closely with the HR and finance teams to ensure proper compensation for employees, handle inquiries related to payroll, and maintain records in accordance with legal and company policies. Key Responsibilities:
Payroll Processing:
· Manage end-to-end payroll processing for U.S. and international employees in partnership with in-country payroll providers · Ensure payroll compliance with federal, state, and international labor and tax laws · Review and approve payroll reports, tax filings, and year-end forms (e.g., W-2s, 1099s, international equivalents) · Collaborate with Finance for payroll GL entries and reconciliations · Support shadow/executive payroll where required for international assignees. · Excellent communication skills, both written and verbal, for handling employee inquiries related to payroll processed through ADP.
Data Management:
Input and update employee payroll information in the payroll system, including new hires, terminations, promotions, and other changes.
Ensure compliance with state and federal regulations regarding employee wages and taxes.
Tax Compliance:
Ensure timely and accurate filing of federal, state, and local payroll taxes.
Prepare and submit tax reports (e.g., 941, state filings, W-2s, and other applicable forms).
Assist with internal and external audits to payroll, benefits and labor regulations.
Benefits Administration:
Administer employee benefit deductions such as health insurance, retirement plans, and other benefit-related deductions.
Work with HR and benefits providers to update and track employee benefits information as needed.
Record Keeping & Reporting:
Maintain accurate records of employee hours worked, leave, overtime, and other payroll-related data.
Prepare reports on payroll data for management, HR, and auditors as required.
Employee Inquiries:
Respond to employee questions and concerns regarding payroll, deductions, tax issues, and benefits.
Provide explanations of payroll policies and assist in resolving any payroll discrepancies or issues.
Year-End Processing:
Assist with year-end payroll processing and preparation of W-2s and 1099s.
Ensure all necessary payroll data is included in annual tax filings and reports.
System Maintenance:
Regularly update payroll software systems and ensure smooth integration with other company systems (e.g., HRIS, time tracking).
Confidentiality:
Ensure the confidentiality and security of all payroll and employee financial information.
Qualifications:
Education & Experience:
Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
5+ years of payroll processing experience, with a strong understanding of payroll and tax laws.
Hands-on experience with ADP Workforce Now (WFN), including payroll processing, tax filing, and benefits administration.
Familiarity with ADP WFN’s reporting tools, payroll adjustments, and year-end processing features.
Skills & Competencies:
Strong understanding of payroll practices, tax regulations, and benefits administration.
Exceptional attention to detail and a high degree of accuracy.
Strong organizational and time-management skills with the ability to meet tight deadlines.
Ability to maintain confidentiality and handle sensitive information.
Excellent communication skills, both written and verbal.
Proficient in Microsoft Excel and other office software.
Certifications (Optional but Beneficial):
Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
Working Conditions:
Full-time position, Monday to Friday.
Fully Remote work environment.
Occasional overtime during peak periods (e.g., year-end processing).
