Job description

Scion Staffing has been engaged to conduct a search for an Event Planning Coordinator on behalf of our client, a nationally recognized and established law firm in Nashville, TN! This full-time, hybrid position is an exciting opportunity for an experienced event planning professional to support a dynamic marketing and communications team in coordinating impactful internal and client-facing events.


The ideal candidate is detail-oriented, collaborative, and enthusiastic about bringing events to life that strengthen firm culture, brand presence, and client engagement. They are proactive, poised under pressure, and skilled in vendor and client coordination, time management, and communication within a professional environment.

RESPONSIBILITIES:

  • Support the planning and execution of a wide range of firm-hosted events, including internal, client, and recruiting-related functions.
  • Coordinate with venues, vendors, and internal teams to ensure seamless logistics, setup, and execution.
  • Track and manage event budgets, process invoices, and maintain organized financial records.
  • Collaborate on creative elements such as themes, branded materials, gifts, and promotional content.
  • Manage event communications, including RSVPs, nametags, Outlook invites, and guest lists.
  • Book and coordinate dinners and offsite reservations for attorneys and client-facing events.
  • Maintain event records, branded item inventory, and help organize event supplies and workspace.



QUALIFICATIONS:

  • Bachelor’s degree in Marketing, Communications, Event Management, or related field.
  • Proven experience coordinating professional events; experience in a law firm or corporate environment preferred.
  • Proficiency in Microsoft Office Suite; familiarity with CRM or event software a plus.
  • Excellent communication and interpersonal skills with the ability to interface professionally with stakeholders at all levels.
  • Highly organized with the ability to manage multiple events simultaneously and meet tight deadlines.
  • Willingness to work evenings and occasional weekends to support event schedules.



COMPENSATION & BENEFITS:

This is a full-time, hybrid position offering a competitive annual salary of $55k-65k DOE.
