Key responsibilities:

  • Prepare and submit RFPs and proposals in collaboration with the Sr Contract Administration Manager and sales team.
  • Track contracts and renewals, maintaining organized records and ensuring compliance with specifications.
  • Assist sales team members with customer onboarding, documentation, and user credentials.
  • Provide proactive customer service and support, ensuring satisfaction and effective communication.

Business Aviation – Customer Experience & Sales Support Team
Location: Remote

Join World Fuel's Business Aviation Division as a customer-focused, detail-oriented professional supporting both our Contract Administration Manager and Inside Sales Support team. This dual role offers the chance to work on bids, RFPs, and contract workflows while assisting sales representatives with proposals, account onboarding, customer outreach, and CRM updates. Key Responsibilities:

  • Prepare and Submit RFPs and Proposals: Collaborate with the Sr Contract Administration Manager and sales team to ensure timely and accurate preparation.
  • Track Contracts and Renewals: Maintain organized records in Box and ensure compliance with specifications and requirements.
  • Sales Support: Assist assigned sales team members with customer onboarding, documentation, ACH-EFT setup, W-9 forms, and user credentials.
  • Data Accuracy and Follow-Ups: Coordinate efforts to maintain data accuracy for municipalities and government bid cycles.
  • Customer Service Excellence: Provide proactive communication and project support, ensuring customer satisfaction.
  • Cross-Functional Collaboration: Work with other departments to support sales representatives with Salesforce updates, credit changes, and account setup.
  • Relationship Building: Offer day-to-day customer support through phone/email outreach, special projects, and relationship management.

Job Requirements:

  • Experience: 3+ years in sales support, customer service, or contract administration, preferably in aviation or fuel-related industries.
  • Skills: Strong communication and organizational skills, proficiency in Microsoft Word, PowerPoint, Excel, Adobe, Salesforce, Box.
  • Knowledge: Familiarity with municipal bidding and aviation industry is a plus.
  • Attributes: Detail-oriented, able to handle multiple tasks and priorities independently, comfortable leading calls and writing formal correspondence.

Preferred Qualifications:

  • Education: Associate degree or equivalent work experience preferred but not required.
  • Experience: Prior experience in aviation, customer service, or contract administration is highly desirable.

Geographic Scope & Travel Requirements:

  • Remote Position: No travel required.
  • Availability: Must be able to work core business hours and attend scheduled calls or team meetings as needed.
