Brief Description Overview:
Under the supervision of the Parent/Teen Survival Supervisor, this position provides high-level administrative support for all TRIAD Justice of the Peace Court programs. Responsibilities include tracking program budgets, processing invoices, maintaining purchase orders, purchasing supplies, managing referrals, and ensuring timely communication with families
Duties & Responsibilities:
Responsible for data entry of two programs including intake and enrollment for clients in Data Management System.
Prepares client case files electronically, monthly reports including group reports in Data Management System.
Creates and updates program documents.
Responsible for processing program invoices and requisitions in PeopleSoft.
Maintains purchase orders of program provisions and supplies, while monitoring budget monthly.
Answers and manages the program phone line, handling referrals for youth enrollment into the program.
Meets with supervisor weekly for status updates and monthly for supervision.
Procures and distributes snacks, ensuring proper inventory is maintained.
Manages gift card inventory and ensures accurate documentation of all distributions.
Attends and assist in preparing for program staff meetings.

Requirements
Education:
A high school diploma or its equivalent.
Experience:
Minimum two (2) years full time paid work experience as an Administrative Assistant.
Training and experience using a personal computer with a variety of software such as Microsoft Word, PowerPoint, and Microsoft Excel.
Licensure:
Reliable transportation with a valid driver’s license (Texas) and auto liability insurance.
Knowledge, Skills & Abilities:
Bilingual in English and Spanish – This position requires someone who is bilingual in English and Spanish
Follows written and oral instructions.
Possesses excellent organizational skills.
Must be detail-oriented and self-motivated.
Must interact with all levels of staff.
Have excellent oral and written communication skills.
Problem-solves and demonstrates critical thinking skills.
Self-starter who can work independently in a fast-paced environment while under the supervision of the Program Supervisor.
Maintains confidentiality.
Interacts and maintains professional working relationships with individuals of varying social and cultural backgrounds.
Skill in establishing and maintaining effective working relationships.
Exercises flexibility, tact, and diplomacy.
