We are seeking a Subcontractor Assistant who is responsible for coordinating activities between subcontractors and internal departments to ensure the timely and accurate execution of contractual obligations. This role involves facilitating communication, managing documentation, and ensuring the proper distribution of relevant data across all stakeholders.

 

Responsibilities

  • Onboard, create, maintain, and monitor subcontractor data, compliance, and agreements in applicable tracking systems. 
  • Manage subcontractor job addendums. 
  • Set-up, maintain, and assist with subcontractor portal log-in and Security Applications.
  • Assist in processing and monitoring subcontractor production reports received from the CCI Systems, Inc. field personnel.
  • Create, monitor, and maintain subcontractor Certified Payroll Reports, Final Lien Waivers, RUS documents, Licensing, Background checks, Certifications, etc. per CCI Systems, Inc., and or/Customer Requirements.   
  • Participate in meetings and conference calls regarding subcontractors.
  • Participate in Pods User testing and acceptance when updates and/or changes are implemented.
  • Assist Directors, Project Managers, and Field Supervisors in various business units to resolve subcontractor invoice issues.
  • Work closely with Accounts Payable team for processing payroll and retainage management.
  • Work with Safety Manager regarding subcontractor damages and claims.
  • Assist subcontractors with production reporting, subcontractor portal usage, and payment requirements.
  • Compile data and reports from Pods and MAS as required.
  • Create and promote the company image through exercising sound and ethical business practices related to employees, the public, and customers. This includes ensuring that the service and quality provided to customers is satisfactory.
  • Maintain confidentiality on all data and information related to customers and sensitive internal reports.
  • Perform other related duties as assigned by management.

Qualifications

  • 2+ years of experience in a customer service-facing role and office administration required.
  • 1-2 years of experience with contract management preferred.
  • Proficient with Microsoft Office Suite and web-based applications with ability to learn new software programs quickly.
  • Strong analytical and observation skills which demonstrate the ability to organize, develop, implement, and manage programs and processes.  
  • Excellent people skills and the ability to communicate well, both written and verbally.
  • Commitment to providing quality customer service and ability to collaborate as a team or work independently. 
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Requires analytical knowledge using general business mathematical skills.
  • Eager learner, open to adapting and assuming increased responsibility.
  • Highly accountable, resourceful, reliable, and self-driven.

Shift is Monday-Friday between the hours of 8:00 a.m. to 5:00 p.m. CST but must be able to work outside normal business hours when required.
