Responsibilities of the Executive Marketing Assistant:

Your responsibilities include:

• 🧑‍💼 Executive Support & Daily Operations
  • Calendar Management:
    • Keep the founder’s schedule organized, balanced, and aligned with top priorities
  • Email Management:
    • Take full ownership of inbox management—triaging, prioritizing, and directly responding to emails to ensure timely communication and a clear workflow
  • Task & Project Coordination:
    • Track ongoing tasks and deadlines, follow up on progress, and ensure nothing falls through the cracks
  • Daily Prioritization:
    • Create and manage daily and weekly priority lists in Asana, keeping focus aligned with strategic goals
  • Accountability Reminders:
    • Provide structured reminders at the start and end of each day and hold internal stakeholders accountable for action items and deadlines
  • Research & Trend Monitoring:
    • Conduct research on industry trends, community insights, and digital topics—transforming findings into content and ideas that energize the online community

• 📲 Communication Management:
  • WhatsApp Oversight:
    • Manage WhatsApp groups and communications to ensure strong internal and external message flow
  • Social Media Engagement:
    • Monitor and respond to community comments, supporting an engaged and vibrant audience
  • Team Communication Support:
    • Act as a communication bridge between team members, ensuring alignment, clarity, and consistent information-sharing

• 🛠️ Operations & Organizational Systems:
  • System Development:
    • Build and document SOPs that simplify, standardize, and strengthen daily operations
  • Workflow Optimization:
    • Help structure team workflows to improve clarity, efficiency, and overall output
  • Basic Financial Coordination:
    • Support light financial tasks, such as tracking expenses or liaising with bookkeepers and accountants for timely updates

• 📣 CRM Support:
  • GoHighLevel Management:
    • Operate and troubleshoot GoHighLevel (GHL) tools, including opening support tickets and resolving technical issues through direct platform support
  • CRM Maintenance:
    • Keep back-end customer databases updated and clean to enable seamless sales and marketing performance
  • Paid Advertising (Bonus Skill):
    • Experience with running and tracking paid ad campaigns on platforms like Facebook, Instagram, or Google is a strong plus, but not required
