Job description

Forvis Mazars Asia Pacific operates a shared service centre (“Delivery Platform” or “DP”) based in Kuala Lumpur, Malaysia. The DP provides Forvis Mazars entities in the Asia Pacific region (the internal “Clients”) with services relating to both administrative support and business services.

The HR & Admin Manager’s role is to oversee the day-to-day operations of the DP.  He/She is expected to help in the setup of the DP, manage recruitment, onboarding, supervising staff; planning, organizing, and implementing administrative/support systems. He/she will be responsible for the efficiency and quality of services rendered to the Clients as well as ensuring cost efficiency.

He/she will work closely with a wide range of senior officers both within the APAC region and in the rest of the World.

 

Responsibilities

  • Propose and setup the appropriate operational procedures to manage DP including but not limited to the development, implementation, reviewing and monitoring of all office operational flow, policies, procedures, etc. to ensure the smooth operation and efficient performance.
  • Take responsibility for all operational and HR matters of DP including:
    • Responsible for the recruitment and selection of staff, onboarding, orientation, training, and performance evaluation process of all new employees as aligned with the Forvis Mazars guidelines.
    • Organizing and managing firm-wide staff events
    • Act as the key contact person and actively participate in and have oversight of all types of engagements and projects handled by the respective DP team members, ensuring effective utilization of human resources.
    • Proactively communicate with key stakeholders and project teams on the status and welfare of the DP team members.
    • Manage and keep track of all monthly expenses, servicing records, usage records, vendors management and any other office related administrative duties as and when required or instructed.
    • Manage the administrative and HR team of DP.
    • Carry out specific projects, research and administration and support as required.
  • Be the promoter of the Forvis Mazars culture and set the tone at the top within the DP to promote the firm’s values.
    • Be responsible to set a nice working environment while maintaining a high level of work ethics.
    • Be a role model for others.
  • Proactively communicate with key stakeholders and project teams on the status and progress of their engagements and projects to ensure timeline and budget are aligned as planned.
  • Any other duties as may be deemed necessary to ensure the effectiveness and efficiency of managing of people and operations in DP.

Requirements

  • Minimum Degree holder (in business, Human resources, or any relevant discipline) with minimum 8 years of relevant experience
  • Practical knowledge and implementation of HR practices and employment law
  • Strong attention to detail and excellent organisational skills
  • Experience in offshoring / shared service center is strongly preferred
  • Excellent people management skills
  • Effective interpersonal and communication skills
  • Sound knowledge of Microsoft office
  • Excellent proficiency in both written and spoken English is a must.
