Job description

This is a remote position.

Schedule:
  • 24 hours per week
  • Saturday to Thursday; 1PM to 5PM Saudi Arabia (4 hours per day)

Job Description

As an Executive Assistant, you will provide high-level support to a team of visionary entrepreneurs. In this multifaceted role, you will have the chance to showcase your talents across a range of thriving businesses. With your exceptional organizational and communication abilities, you will directly assist the leadership in managing their companies’ day-to-day operations, ensuring seamless execution of their ambitious visions.


Responsibilities
  • Assist with daily calendar management, task scheduling, and email correspondence
  • Coordinate travel arrangements, including flight bookings, hotel reservations, and transportation
  • Conduct online research on various topics as directed and provide concise summaries
  • Assist in Social Media management and content creation
  • Handle sensitive personal information with discretion and ensure data protection
  • Manage and organize personal documents and calendar ensuring utmost confidentiality
  • Handle online errands, including shopping, bill payments, and reservations
  • Assist in planning and organizing personal events or family gatherings
  • Prioritize tasks for various teams, monitor progress, and provide regular updates to senior management.
  • Liaise with other staff members, vendors, and service providers to ensure seamless operations
  • Act as a liaison between the executive and other departments, ensuring smooth communication and prompt resolution of requests and queries
  • Assist with occasional business tasks, ensuring they align with the client’s objectives
  • Handle office administrative tasks as directed and as necessary
  • Provide daily or weekly reports on completed tasks and upcoming schedules
  • Receive and process minutes of meetings, ensuring accurate minute-logging, note compilation, and action point tracking

Requirements
  • Exceptional attention to detail and organizational capabilities
  • Discretion and confidentiality are paramount
  • Outstanding written and verbal communication proficiency.
  • A minimum of three years of experience in an executive assistant role
  • Proven experience as a personal assistant or in a similar role
  • Proficiency in MS Office Suite, especially Excel, Powerpoint and Outlook.
  • Ability to adapt and thrive in a fast-paced environment
  • Ability to adapt to changing priorities and multitask effectively
  • Social Media management and content creation (Canva) knowledge is preferred (Linkedin, Instagram, X/Twitter, Telegram, Whatsapp)
  • Technical proficiency, comfortable in adapting to online tools and technologies
  • A proactive approach to tasks, with the ability to work independently
