Job description

Role: Executive Assistant
Location: Remote (Global) – Must be available to work a minimum of 4 London (GMT) hours daily
Reports To: Head of Europe

Janji is more than just a running apparel brand—we’re on a mission to explore, connect, and give back through running. We create high-performance running gear inspired by different parts of the world, with 2% of every sale going to clean water initiatives in those regions.

We’re looking for an Executive Assistant to join our team and help optimize our day-to-day operations. This role involves customer support, wholesale operations, coordinating with our third-party logistics (3PL) warehouse, managing inventory, and assisting with inbound shipments from our factory partners.

Key Responsibilities
Customer Service Support
  • Respond to customer inquiries via email and provide chat support during peak periods, ensuring prompt and helpful responses.
  • Assist customers with order issues, returns, and exchanges, ensuring a smooth experience while managing the returns platform efficiently.
  • Identify common customer concerns, suggest improvements for better efficiency, and report recurring issues to the team.
Warehouse & Logistics Coordination
  • Act as the main point of contact between Janji and our third-party logistics (3PL) warehouse to ensure on-time deliveries.
  • Collaborate with our 3PL to organize inventory checks and update our inventory management system.
  • Identify and resolve shipping or fulfillment issues to maintain smooth operations.
  • Upload product information into our 3PL system and create ASNs for inbound shipments.
Wholesale & Order Management
  • Create packing lists and invoices for wholesale orders, troubleshooting issues to ensure accurate fulfillment and timely deliveries.
  • Track and update order statuses, ensuring all wholesale partners receive timely communication.
  • Generate and process invoices for wholesale accounts.
Direct-to-Consumer Site Support
  • Support the launch of new products and collections on the Janji website through our e-commerce platform.
  • Manage our returns platform and associated processes.
  • Work with sales and customer service teams to correct order discrepancies and manage order modifications.
