Summary:

The Greenheart Exchange Work and Travel Program, part of the BridgeUSA initiative, connects international students with cultural exchange opportunities in the U.S., allowing them to gain valuable work experience while fostering cross-cultural understanding. As a Program Coordinator for the Placement team, you will play a key role in facilitating the placement process by liaising with U.S. host organizations, staff, and international recruiting agents. Your responsibilities will include coordinating hiring events, managing placement progress according to partner allocation and host organization commitments, and ensuring that program standards are upheld. This role requires strong organizational and communication skills to support a seamless and successful exchange experience. 

What we’re looking for:  

The ideal candidate should be positive, outgoing, organized, and flexible with changing priorities. They should have excellent customer service skills, time management abilities, and research skills. It’s imperative that they can relate to people of all backgrounds and beliefs. This person should be comfortable working hard, being self-directed and at ease communicating with many different stakeholders. They should also be motivated by program goals, while staying within the compliance perimeter and regulatory standards. In a fast-paced working environment, the ability to oversee multiple projects and deadlines is essential.  

Some things you might do as a Program Coordinator:  

  • Coordinate continued customer service efforts over the life of all accounts 
  • Meet all individual and shared departmental goals 
  • Contribute to program growth by continuously improving the quality of service to recruiting partners and host organizations 
  • Ensure quality service by maintaining regular, professional, and courteous communication with all stakeholders 
  • Conduct vetting of host organizations 
  • Liaise with recruiting partners to understand their capacities and match appropriate placement opportunities 
  • Support and help facilitate the interview process between partners, host organizations, and future participants   
  • Assist with the planning and execution of domestic, overseas, and virtual hiring events 
  • Attend and contribute to weekly staff meetings. Engage with team members by offering suggestions and collaborating on projects and strategies

 

Some qualifications you should have:  

  • Minimum of bachelor's degree or equivalent experience highly preferred  
  • Experience managing data and working with databases 
  • Customer service experience is a must, including proven experience in resolving conflicts and managing sensitive situations  
  • Experience managing a high volume of emails and tasks 
  • Exceptional time management and organization skills 
  • Ability to think critically and solve complex problems.
  • Excellent writing and verbal communication skills 
  • Ability to work with a diverse group of stakeholders 
  • Tech-savvy, proficient with Microsoft Office Suite 
  • Experience studying, volunteering, or working outside the U.S., and/or experience working in a multicultural and/or multilingual environment 
  • This role will involve some domestic travel (U.S. residence is required) and may involve international travel. 
  • Eagerness to embrace new challenges, demonstrate a proactive and positive attitude and acquire new skills as needed.
